Oxygen Development is Hiring a Receptionist Near Palm Springs, FL

MISSIONS

  • Perform a wide range of administrative and office support activities for Managers and Supervisors to facilitate the efficient operation of the organization.
  • Provide high-level service to Executive Officers.

SCOPE

  • Assist Executive Officers and other employees as necessary to ensure a professional business environment fitting to the company's goals and vision.

FUNCTIONS

  • Greet Customers, New Hires, Employees, and other as they arrive.
  • Answer, screen (to control interruptions) and transfer inbound and internal phone calls appropriately.
  • Make announcements over the company's intercom as needed.
  • Conduct general clerical duties including photocopying, faxing, mailing and filing.
  • Enter data into the Paycom training platform as a response to requests from users.
  • Create and Deploy agendas for visitors and new employees.
  • Book transportation services and lodging as needed for visitors and candidates for employment.
  • Facilitate transportation, lodging and per diem for approved travel requests from HR.
  • Manage and coordinate the conference room schedule (bookings, cancellations, communication).
  • Arrange and/or prepare meeting facilities.
  • Schedule and coordinate meetings, appointments and travel arrangements for Executive Officers as needed.
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails.
  • Resolve administrative problems and inquiries.
  • Send welcome email and electronic link for collecting onboarding information for new employees.
  • Conduct research as needed.
  • Send approved HR communications.
  • Update the company's public calendar on our Intranet homepage.
  • Sign for official mail or package deliveries.
  • Open, sort and distribute incoming USPS correspondence.
  • Receive, sign for, and distribute packages from couriers.
  • Ship packages or envelopes for Executive Officers using courier services.
  • Assure discreet handling of all business.
  • Maintain Employee files.
  • Assist in recruiting efforts by sourcing through resumes and scheduling 15 minutes interviews.
  • Perform other duties as assigned.

Education: High School Diploma required, Associate or Bachelor's degree a plus.

Work Experience: At least 2 years of experience in an administrative assistant role.

  • Attention to detail and accuracy.
  • Customer service orientation
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Communication Must be fluent in English, Spanish or Creole is a plus.
