Construction Project Coordinator

Owen Gabbert LLC is a real estate development and construction company with a creative and community-oriented focus. Our unique expertise in both of these areas allows us to give our clients streamlined results and educated feedback throughout the project.

With our growing list of projects, we are looking to add a project coordinator who is interested in being part of a tight knit, dynamic team. We pursue projects that we believe are interesting and thoughtful to deliver buildings and spaces that are enduring as well as environmentally sound.

All development and construction projects create a lasting impact on the community where they are built. We believe they should be done with consideration as well as innovation.

Reports to: Project Manager or designee.

Position Summary

FLSA Class: Hourly Non-Exempt

The Project Coordinator will work closely with our Project Managers, Site Superintendents, and Site Leads to ensure project expectations are met within timeframes and budgets. You will perform various project tasks such as scheduling and working with subcontractors and suppliers, as well as administrative duties, like maintaining project documentation. You will also take part in the pre-construction and estimating process of new and prospective jobs. To succeed in this role, you should have excellent time management and communication skills, as you will be collaborating with clients and internal teams to ensure that all projects are completed on time, within budget, and meeting our high- quality standards.

Jobs To Be Done:

  • Help facilitate timely completion of pre-construction processes including conceptual estimates and budgets:
  • Review plans for accuracy, identify applicable trades, and create RFI’s as needed.
  • Execute take-offs from construction and schematic design documents and build schedules as needed.
  • Outline each trade’s scope of work; prepare and send RFPs to subcontractors and vendors, review bids for accuracy, and follow up as needed to ensure timely and accurate responses.
  • Schedule and lead subcontractor site walks.
  • Participate in value engineering research and presentation.
  • Track changes to scope and finishes, and request revised bids as needed to refine estimate for contract execution.

Support the Project Manager or designee by leading or assisting on the following tasks:

  • Handle document control including updating electronic files and drawing sets; issue, track, and fileappropriate paperwork.
  • Update and track project budgets; identify and log scope changes, prepare change orders for reviewwith the Project Manager before writing and executing change orders with clients.
  • Update and track project schedule; communicate shifts and keep the project stakeholders inthe loop.
  • Prepare submittals and track responses.
  • Prepare subcontractor agreements as needed; Review and approve subcontractor and supplier invoices for payment.
  • Procure materials - including product research, comparison and option pricing, and clearly present findings.
  • Coordinate deliveries, including what is getting delivered and when.
  • Support site-based operations including supervision of subcontractors/OGLLC employees, QA/QC of work,ensuring jobsite safety/cleanliness, and other duties as needed.
  • Create closeout materials for completed projects in conjunction with project team including lists of materials and fixtures, operation and maintenance instructions, and warranty information.
  • Develop and maintain good rapport with clients, city officials, inspectors, subcontractors and OGLLC personnel while advocating and negotiating solutions that benefit the client, company, and project
  • Make sure that clients’ needs are met as projects evolve by monitoring project progress and handling any issues that arise
  • Conduct all business in a professional and ethical manner to serve clients and increase the goodwill and profit of the company.

Experience & Requirements:

  • 2-4 years of building industry experience, construction, architecture or equivalent education/adjacent industry experience; residential construction experience preferred.
  • Strong client-facing and teamwork skills.
  • Strong problem-solving skills that generate resourceful and creative solutions.
  • Computer literacy – Solid working knowledge of Google Workspace, Microsoft Word, Excel, and demonstrated ability to learn new software. Hands-on experience with Buildertrend or other project management/scheduling software.
  • Basic knowledge of construction scopes, materials, processes, costs, scheduling, purchasing, general contract and subcontract documents, drawings, and specifications.
  • Proven written and verbal communication abilities. Able to read, understand and interpret contract documents, drawings, specifications, scopes of work and project schedule or a demonstrated ability to get up to speed quickly.
  • Willingness to work long days and/or overtime when necessary.
  • Flexibility to work a schedule that can occasionally include early mornings, nights, and/or weekends, depending on project need.
  • Access to a vehicle capable of carrying supplies, a valid driver’s license, and able to drive between designated projects throughout your workday.
  • Ability to stand and walk for long periods of time; sit for extended periods; bend at the waist; repetitive motions; push, pull, climb, balance, stoop, crouch, kneel or crawl; walk on uneven terrain; proficient manual dexterity with both small and large objects; lift and/or move at least 50 pounds.
  • Resiliency to withstand occasional exposure to outside weather conditions, loud noises, tight spaces, high precarious places, moving mechanical parts, power tools, risk of electrical shock as well as other inherent construction site risks.
  • You must be able to perform all requirements with or without reasonable accommodation.
