Orthodontic Treatment Coordinator - Arlington Heights, IL

Orthodontic Experts is a successful and fun orthodontic practice with 24 locations that service Illinois, Wisconsin and Indiana. This year we are on track to open additional offices and we are looking for the best of the best to join our team!

As a Treatment Coordinator, you will build a rewarding relationship with our valued patients by being the liaison between the doctor and the patient. With strong communication and sales skills, the Treatment Coordinator transitions the patient into braces or aligners and helps keep the patient on track to the smile of their dreams.

As a Treatment Coordinator, you will be responsible for the following but not limited to:

  • Manages the efficient and effective scheduling of patients and adjusts as needed
  • Monitors no-shows and manages the necessary calls and re-scheduling
  • Welcoming patients on their journey to their perfect smile
  • Support the doctor before and during the consultations, ensuring that patient is offered the treatment options most beneficial to their goals
  • Build value and educate the patient on their choice in treatment and choosing Orthodontic Experts as their provider
  • Educating patients on the health risks of not receiving proper treatment
  • Provide financial information and facilitate payment for Orthodontic treatment
  • Perform follow up phone calls on previous patients
  • Calculating fees for treatment and securing a financial commitment from the patient
  • Offer patient alternate means of payment, as applicable
  • Perform Insurance Verification
  • Meeting monthly goals 
  • Facilitates Office staff meetings to recognize team successes, communicate changes of policies and procedures, and plan the days and weeks’ events
  • Handles patient complaints and provides feedback to Providers/Assistants on issues related to clinical matters
  • Clinic Reviews
  • Provide weekly and monthly reporting to leadership
  • Coordinate and facilitate monthly meetings for clinical staff
  • Take responsibility for the appearance and functionality of the office
  • Maintain facilities and equipment in accordance with hygiene and safety regulations including OSHA
  • Participate in marketing events
  • Track patient accounts receivable and outstanding balances to ensure timely payment.
  • Assist in Practice’s collections protocol for all outstanding balances.
  • Perform general office duties and other duties as required

Requirements

  • 2 years sales experience
  • Knowledge of Dental/Orthodontic Insurance Benefits preferred
  • Proficiency in Customer Service
  • High School Diploma or equivalent
  • Excellent communication and interpersonal skills with an outgoing personality
  • Professional Demeanor
  • Self-motivated and ambitious sales attitude
  • Bilingual - Spanish or Polish

Working Hours

  • Monday-Wednesday 8:45 AM-5:00 PM must be flexible 
  • Thursday 7:45 AM-4:00 PM

  • Open to traveling to other locations
