Job Title: Sales & Customer Service Representative

Supervisor’s Title:Customer Service Supervisor and Customer Service Manager
Job Purpose:
This position is responsible for providing effective customer service for all OPGI customers with excellent, in-depth knowledge of company products and exemplary, responsive customer service. Processes orders for merchandise received by mail, telephone, fax, E-mail or personally from customer or company employee by performing the following duties:

Essential Job Functions:
  • Provides timely and accurate information to incoming customer order status and product knowledge requests
  • Processes customer orders/changes according to established department policies and procedures
  • Inputs data into computer, makes corrections to information, and ensures accurate and timely processing of orders in Morse Data (database)
  • Informs customer of unit prices, shipping date, anticipated delays, and any additional information needed by customer
  • Interacts with customers regarding service, questions and complaints
  • Works closely with Customer Service Supervisor for assistance with technical and procedural questions, making adjustments to invoices and/or pricing, and phone skills improvements
  • Processes customer returns according to established department policies and procedures
  • Provides timely feedback to the Customer Service Supervisor and/or Customer Service Manager regarding customer service failures or customer concerns
  • Verifies accurate shipping methods with customer prior to finalizing order
  • Works to exceed customer's service expectations
  • Works closely with Credit / Refund Division to resolve disputed credit / refunded items
  • Interacts with Customer Service Supervisor and/or Warehouse to expedite or trace missing or delayed shipments
  • Adheres to Custom Service policies and ensures compliance with standard operating procedures
  • Follows environmental and safety regulations and acts in compliance with state and federal regulations
  • Complies with the company’s polices and business ethics
  • Contributes to team effort by accomplishing and achieving results
  • Performs other tasks or projects as assigned by Customer Service Supervisor and/or Customer Service Manager
Experience/Training/Education:
Required: High school diploma or general education degree (GED) and 5 years of experience in field or in a related area.
Knowledge/Skills/Abilities:
General: Ability to prioritize, organize, solve problems, and complete tasks independently; ability to follow verbal and written instructions, to maintain the confidentiality of data, and to accept constructive criticism. Highly self-directed and very strong attention to detail; able to manage time effectively in a fast-paced environment, with the ability to multi-task
Technical: Requires knowledge and understanding of company’s products and internal resources such as company catalogs and ERP system. Requires phone and email systems knowledge.
Communication: Ability to read and interpret general business correspondence and periodicals. Ability to write reports and to respond effectively to inquiries or complaints. Ability to speak clearly and to make effective and persuasive arguments.
Mathematical & Reasoning: Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's; ability to perform these operations using units of American money and weight measurement, volume, and distance. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; ability to deal with problems involving several concrete variables in standardized situations.
Computer: Ability to proficiently use computer software programs and related computer applications, Microsoft Office applications and other industry-specific technology tools used within the organization, such as Outlook and Adobe Acrobat (PDF) Software.
Physical and Environmental Elements:
Physical Demands: Ability to sit continuously for over 2/3 of normal work shift, and stand, walk, and reach with hands and arms for at least 1/3 of the normal work shift. Ability to talk or hear continuously. Finger dexterity is required frequently for over 2/3 of the normal work shift. Ability to stoop, kneel, crouch or crawl up to 1/3 of the normal work shift. Ability to lift up to 10 pounds for up to 1/3 of the normal work shift. Ability to climb stairs regularly (work area is located on the 2nd floor).
Vision: Ability to see at close range (clear or corrected vision at 20 inches or less) Ability to see at a distance (clear or corrected vision at 20 feet or more). Ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point (peripheral vision).
Work Environment: Position is typically performed in the office environment with standard equipment and moderate noise levels (examples: computers, printers, fax, copiers, light traffic, and phone).
Special Requirement:
May be required to work weekends and holidays as business necessitates; schedules will be determined by the department supervisor/management with at least 48 hours in advance notice.
