The OHSU Knight Cardiovascular Institute integrates research, education and patient care related to cardiovascular disease throughout a person’s lifetime — from conception through the end-of-life. We strive to advance care for patients at all life stages. This is fueled by cutting-edge research and training of the cardiovascular specialists of tomorrow.

We are made up of eight OHSU divisions, centers and consortiums: The Divisions of Pediatric Cardiology, Adult Cardiology, Cardiothoracic Surgery (including heart transplant) and Vascular Surgery, VA Cardiology and the Center for Developmental Health, Epigenetics Consortium and Center for Preventive Cardiology.

As the Senior Grants/Coordinator, you will be working with minimal supervision and a high degree of decision making and independence. You wil apply for and monitors grant funds for the Knight Cardiovascular Institute and enters / administers contracts with other governmental agencies or the public for the provision of services in adherence to regulations, OHSU policies and procedures. Coordinator includes Pre Award and Post Award activities. 

Function/Duties of Position

Grant Planning and Development:

  • With minimal supervision, interprets sponsor guidelines and requirements. Grant submissions include NIH, DOD, foundation and industry-sponsored grants which may have multiple PIs, multiple institutions, and / or subcontracts. Independently liaisons with faculty, postdocs, grad students and other staff and faculty in other OHSU departments and other institutions to ensure that all appropriate pre-award administration, formatting, guidelines and rules have been implemented for timely and accurate submission of the department’s grants, projects and renewals. Prepares budgets and reviews applications for funding and processing. Drafts administrative components of the proposal including verification that all protocol information is in place for IACUC, IRB and IBC, and making sure all online courses are up to date and completed.

Grant/Contract Coordination:

  • Serve as the lead for complex grants such as T32, U54, SPORE, P50, T90, etc. Coordinates and provides support to accounting, reporting, and other management requirements with grant recipients or contractors. Reviews plans / agreements, schedules, budgets, progress reports (RPPRs), or other grant / contract monitoring instruments to ensure contract or grant project / program performance. Identifies and resolves problems, assures appropriate and timely correction of grants administration and / or contract compliance issues. Independently coordinates proposal submissions. Discuss proposed resources (labor and non-labor). Draft administrative components of the proposal (including the budget and required subcontract documents) and coordinate submission to the sponsor with the Office of Proposal and Award Management (OPAM). Collaborates with the Department Administrator and Finance Administrator to develop and further optimize KCVI’s pre and post award workflows.

Locate Funding:

  • Locates sources of available grant funds in published databases including InfoEd, Foundation Directory Online, grants.gov, RePORTER, American Heart Association, and the Cardiovascular Research Foundation. Shares qualifying opportunities with faculty and research staff. Partners with investigators to locate funding based on a specific need or area of interest.

Training and Mentoring:

  • Trains new and existing GCCs on OHSU resources, policies and procedures; InfoEd/Cognos use; OPAM standard operating procedures and service level agreement. Provides guidance on cost sharing, IDC rates. Provides oversite for all GCCs on complex grants (T32, U54, SPORE, P50, T90, etc.). Mentors other GCCs on resources and policies. Assists other basic science departments when back-up or additional GCC assistance is needed.

Contract Coordination:

  • Translates program requirements into contract terms in consultation with management. Develops or ensures development of contract requirements containing quantifiable specification and measurable performance criteria. May use “Request for Proposal” to gather information from potential contractors to negotiate and clarify contract issues. May negotiate within contract service requirements limited to metrics, dates, and services provided. Composes contract wording and calculates contract payment rates and amounts.

Technical Assistance:

  • Provides consultation, advice, and direction to all levels of OHSU staff regarding grant and contracting issues and methods which will best meet legal requirements and objectives. Safeguards the integrity of grant administration or contracted services and protects OHSU from financial losses due to adverse legal action or audit irregularities. Responds to requests for information from other agencies, other governmental entities, and the public. Develops guidelines for internal and public use relative to grant application and administration and / or contract compliance.

Required Qualifications

  • Bachelor's degree AND four years of grant/contract administration experience, OR
  • Six years of grants and contracts administration experience, OR
  • Certification from the Society of Research Administrators (CRA) AND three years of grant and contracts administration experience, OR
  • Equivalent combination of training and experience.

Job Related Knowledge and Skills:

  • Knowledge of grant guidelines, regulations and OHSU research procedures, protocols and policies with regard to research grant submissions.
  • Intermediate to advanced computer skills required in Microsoft Word, email, Adobe Acrobat, pdf forms and Excel.
  • Prioritize and organize multiple projects to meet deadlines.
  • Detail oriented with ability to communicate complex instructions using excellent written and verbal skills.
  • Must be able to perform the essential functions of the position with or without accommodation.

Preferred Qualifications

  • Experience in submitting grants, including training grants, for multiple faculty and trainees.
  • Experience submitting NIH, DOD, AHA, MRF, and other contracts and grants.
  • Experience with progress reports. Experience using InfoEd, eRA Commons, xTrain, NCBI and SciENcv.

Additional Details

This position is located at the OHSU Multnomah Pavilion in Portland, OR. Partial teleworking is possible. Schedule is M-F, during normal working hours (schedule flexibility is possible within limits), and occasional overtime required, typically due to increased workload around grant deadlines. General office environment with frequent interruptions, noises and interpersonal interactions.

Pay Range: $34.79 - $47.74 per hour
