POSITION: Business Director

TITLE OF IMMEDIATE SUPERVISOR: Executive Director

DEPARTMENT: Business Office

STATUS: Exempt/Salary

SUMMARY

The Business Director is responsible for the overall operations of the business office at Orchard, including Accounts Receivable, Accounts Payable, and Payroll. They will serve as the community's primary resource for handling processes and questions from residents, families, and team members related to billing, vendor payments, cash receipts, expense reports, payroll, and employee benefits. They will report to and assist the Executive Director with the completion of documents, correspondence, budgets and special projects, perform administrative support and documentation for the community, track all accounting changes including daily census, move-ins, move-out credits, proposed rate adjustments or corrections, and coordinate and oversee employee hiring processes and on-boarding procedures.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • Must be 21 years of age or older.
  • High school diploma or GED; and minimum one (1) year of experience in business office management
  • Supply management, Informing Others, Tracking/Analyzing Budget Expenses, Delegation, Staffing and Improvement, Inventory Control and Reporting Skills
  • Must successfully clear a background check, TB skin test or x-ray, and health screening
  • Current CPR certification
  • Must have a valid driver's license
  • Current certificate of training for successful completion of the five (5) hour initial fire safety training provided by the Rules and Regulations of the Georgia Safety Fire Commissioner

PRINCIPLE DUTIES AND RESPONSIBILITIES

  • Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; implementation of filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Supervises the front desk staff including concierge and receptionists
  • Implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments
  • Completes operational requirements by scheduling and assigning employees; following up on work results
  • Maintains office staff by managing the recruitment, selection, orientation, and training of associates
  • Maintains administrative staff job results by coaching, counseling, and disciplining associates; planning, monitoring, and appraising job results
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks
  • Achieves financial objectives by implementing set budget; analyzing variances and initiating corrective actions
  • Contributes to team effort by accomplishing related results as needed
  • Communicates regularly with families, in regard to billing and Accounts Receivable
  • Ensures residents and families are educated about residents' rights
  • Remains updated and communicates state regulation changes to all associates
  • Assist the Executive Director in completing the annual budget
  • Understands and manages the department budget to include labor and other expenses and its impact on the community's bottom line
  • Reviews monthly financial statements and implements plans of actions around deficiencies
  • Process and submit monthly expenses and budget data timely per Orchard's policies and internal business controls

  • Responsible for maintaining all continuing education and training requirements for position
  • Attends and participates in onsite training and continuing education as required
  • Participates in safety program, as requested
  • Cooperates to investigate employee injuries
  • Promotes and support safety awareness and implement safety operations
  • Encourages staff to make suggestions on safety practices
  • Participates in regularly scheduled meetings with, Executive Director, department directors and associates
  • Participates in orientation of new employees
  • Participates in volunteer orientations, training and education as requested
  • Maintains appropriate communication with the Executive Director
  • Remains updated and communicates state regulation changes to all associates
  • Ensures compliance with all state and federal regulations (i.e. OSHA)
  • Participates in the risk management programs
  • Demonstrates the ability to be innovative and creative and have patience, high energy and resourcefulness in problem solving
  • Assists as requested by the Executive Director in a dining room during resident meal times to ensure residents have a positive experience
  • Must always be accessible either by phone or email- Voice messages and emails are responded to within 24 hours
  • Participates in the Manager on Duty (MOD) rotation
  • Ability to work evenings, weekends and flexible hours when necessary to meet the needs of our residents
  • Follows Professional Dress Code policies as outlined in the employee handbook for community and department specific standards
  • Only when necessary, uses cell phone solely for conducting Orchard business in common areas of the community; otherwise follows Orchard Phone Policy.
  • Perform other related duties as assigned
