Who is ORB Management?

ORB Management is a consultatory advisor for large capital investments for clients and their facilities that serves as Owner’s Representative. ORB guides clients from idea inception through facility operation, utilizing detailed planning, design, and construction processes. With heavy experience in non-profit and for-profit clients, along with facility types that range from corporate office facilities, detailed warehousing and manufacturing processes, post-secondary education, medical facilities, and beyond, ORB prides themselves at guiding clients through a variety of navigations from specialty financing, consultant selection, design, construction, operations, and more.

In office 8:00am to 5:00pm, Monday through Friday

Your Role

Your primary function is to carry out all duties acting on behalf of the Owners. You will play an active role in advocating, as you support turning their vision into reality. Bringing your industry expertise to represent their best interests throughout all phases, primarily focusing on the design and construction phase. Your goal is to create optimum value for the represented company and our company by successfully managing each project from concept to completion while effectively managing customer expectations.

Your Team

You will report to the Project Executive. You will work collaboratively with personnel of all levels across different organizations to deliver the client’s vision in a top-quality project on schedule and on budget as a leader and manager on behalf of the Owner and our organization. You will work alongside the Project Cost Manager.

Essential Functions by of Your Job

1. Develop and maintain client relationships that uphold and promote positive company image. This includes prospect analysis along with procurement process for proposals to include team, content, and fee.

2. Assist and support the Project Executive during the Planning Phase of duties of the project to have gain traction for the project.

3. Collaborate with Project Team to determine and define the scope of work and deliverables that align with the Owner’s aspirations for the project by ORB’s corporate values.

4. Lead Design Phase duties for the client and our team from the primary contract award and through design completion. This list of duties is summarized as:

a. Lead all project stake holders which includes the Owner and their representatives, selected partners (such as architects, engineers, surveyors, constructors, preferred contractors, vendors, etc.) and our team for project needs. This includes consistent formal and informal communication through company best practices.

b. Work alongside and support client through unique financing, working with Authorities who Have Jurisdiction (AHJ’s), and other unique aspects of the project to ensure the project complies with all unique requirements

c. Ensure project is meeting progress, schedule, and budget goals while being tracked.

d. Assist with identification, solicitation, and selection of professional service providers such as architects, engineers, contractors, assessment, furniture, equipment, and more.

e. Manage proper formal processes such as contracts, applications, zoning, use, variances, and more

f. Review, guide, and provide recommendations of design documents during development for constructability, conformance to budget limitations, and value.

g. Actively evaluate processes and ask questions to identify gaps, shortfalls, overruns, or misses within a project and learn how to implement timely corrective action.

h. Participate in value engineering discussions factors related to costs, alternative designs, materials, or systems that would maintain the integrity of the Project Program.

i. Guide on Logistics Plans including site use, development, phasing etc. for proposed project to factor in the needs of the Owner’s ongoing activities.

5. Lead Construction, Warranty, Closeout, and Occupancy duties for the client and our team from the completion of design through the Owner Take-over and use period. This list of duties is summarized as:

a. Ensuring project documentation is being tracked, managed, updated, and aligned to a ensure items are meeting project standards, reporting, inspections, testing, etc.

b. Attend progress meetings and hold Owner update meetings as needed to summarize key construction progress, Contractor’s conformance to the schedule, cost/budget status, percentage of completion, change requests, any current or potential problems, and recommendations for Owner actions.

c. Review meeting minutes and track progress of all action items outlined from Contractor.

d. Expeditiously move through issues and opportunities to support the construction process timing.

e. Assist Owner with fund management by reviewing proposals and changes, while implementing and monitoring payment processes, and acquiring of mechanics lien releases for all payments.

f. Assist Owner with coordinating and procuring scopes of work outside of the construction contract (i.e. service, communications, security, access control, signage, storage for materials purchased by Owner, etc.).

g. At Substantial Completion of project or project phase, direct A/E to lead and prepare a list of incomplete, unsatisfactory, or non-conforming items as Punch List items required for turnover that includes Owner and our attendance

h. Facilitate and monitor the Contractor’s completion of Punch List along with the final approval (Owner Acceptance) of all punch list items.

i. Confirm the transfer of building operations to the Owner from the Contractor. This includes ensuring all equipment has been started up, orientation and training for Owner’ personnel have been completed for all building systems and equipment installed as part of the project.

j. Work with corporate team to ensure all closeout documents are received and filed properly; including (but not limited to) Certificates of Occupancy, owner manuals, final project documents including red-line drawings, receipts, and warranties.

k. Work with project team to release final payments and collect final lien waivers.

l. Ensure 11-month Final Warranty Inspection is scheduled, completed, and any necessary actions that arise are determined, scheduled, tracked, and completed.

6. Complete additional duties as assigned and as development progresses.

About Your Qualifications

· 5 years of relevant experience

o Preference will be to Design, Construction industry, or Real Estate industry experience.

o Other professional backgrounds to likely be considered are finance and other business management areas

· Knowledge of the building design/construction processes

· Degree from an accredited four-year college or university in a related field experience

· Proficient Computer Skills (Microsoft Office, data entry, PDF software, etc.)

· Project Management Administration Software experience (preferred)

· Basic knowledge of accounting, civic, real estate, and banking processes (preferred)

  • · Financial Acumen – Willing to learn and managing budgets, project based profit and loss, balance sheet, forecasting, and capital stack alignment
