Overview:

Under general supervision, performs a wide variety of complex and responsible clerical and administrative duties supporting the Marketing and Public Outreach department.

This is a non-exempt position in Salary Grade L: Min $29.19 – Mid $34.77 – Max $40.34 per hour. The starting salary will be within this range based on qualifications.

Has the technical skills, product knowledge and professional skills to do the job.

  • Develops and prepares a variety of correspondence, reports, spreadsheets, memoranda, meeting minutes, presentations and other materials. Arranges meetings, conferences and travel, as required.
  • Establishes and maintains complex interrelated filing systems. Maintains documents regarding payroll and personnel for the staff in assigned functional area(s).
  • Plans and coordinates departmental events including, but not limited to, quarterly meetings, conferences and agency seasonal activities.
  • Performs a variety of clerical, secretarial, and administrative duties in support of multiple functional areas, including proofing Board agenda items and composing and editing correspondence independently or from oral/written instructions. Reviews and proofs documents, records and forms for accuracy, thoroughness and conformity with applicable rules and regulations.

Customer & External Focus: Markets his/her workgroup effectively and influences others in the organization.

  • Assists callers by relaying messages, answering questions, responding to requests, resolving problems, explaining policies and procedures, and referring callers to others as appropriate.
  • Serves as a liaison with the general public, division and other agency personnel, the Board of Directors, community agencies and government representatives, resolving moderately complex questions and problems.

Drives for Results: Operates with speed and intensity, translates long-term goals into immediate actions.

  • Assists in the preparation of the department budget, including collecting and compiling budget data, verifying the accuracy of budget information, and processing requisitions, contracts and invoices.

Works in a Collaborative Manner with Others: Works in a collaborative manner with others, helps resolve unproductive conflict.

  • Serves as back-up for others in assigned functional area which may include providing temporary coverage.
Qualifications:

Any combination of education and experience equivalent to a high school diploma and a minimum of six years of administrative experience, three of which are in a related area. Related education preferred.
