DC Global Planning is Hiring an Executive Assistant Near Rockville, MD

About DC Global Planning: As a dynamic, woman-owned government contractor based in Maryland, DC Global Planning specializes in meeting planning and strategic support for government initiatives. We are currently seeking a highly organized and proactive Executive Assistant. This part-time role involves direct support to our CEO, facilitating the seamless operation of leadership activities, and enhancing our strategic execution.

Key Responsibilities:

  • Manage the CEO's calendar, schedule meetings, coordinate travel, and oversee expense management. Anticipate and prepare for the CEO’s needs in advance of meetings, conferences, and other key events.
  • Act as the primary liaison between the CEO and staff, maintaining credibility, trust, and support. Handle office communications, prepare presentations, and organize detailed reports to ensure effective information flow.
  • Handle confidential information with the utmost discretion. Assist in organizing company events and meetings, maintaining both digital and physical filing systems to ensure critical documents are readily accessible.
  • Oversee the preparation and submission of expense reports and budget forecasts. Act as the point of contact between executives and internal/external clients.
  • Contribute to project management activities including tracking progress and preparing status updates. Support the development and implementation of organizational processes and systems.
  • Arrange and handle all logistics for meetings and events, schedule meetings, draft agendas, develop, compile, and distribute presentation materials.
  • Develop and execute written communications and correspondence with partners, colleagues, and the team. Carefully edit and proofread documents.
  • Manage and input information into databases, spreadsheets, and documents. Provide standard office operations support such as handling mail, making deposits, copying documents, etc.
  • Support events by organizing materials, managing print production, creating and monitoring invitations and emails, and tracking and summarizing all related data, in addition to providing on-site event support.
  • Respond to requests for information and assist with special projects; design and produce complex documents, reports, and presentations.

Required Qualifications:

  • Bachelor’s degree in Business Administration, Communication, or a related field.
  • Proven experience in an administrative role, preferably within a government contracting environment.
  • Advanced skills in productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism and integrity.
  • Strong problem-solving skills and the ability to think critically and strategically.
  • Ability to work independently and collaboratively in a team environment, demonstrating flexibility and adaptability.
  • Excellent communication, time management, and organizational skills.
  • Ability to multitask effectively and meet tight deadlines.
