Reports to: Director of Institutional Giving 

Salary Range: $28,000-$32,000

Important Staff 

Relationships: VP of Institutional Advancement, Director of Research and Prospect Strategy, Senior Director of Development, Director of Events, Finance Department 

Central Role: Under the supervision of the Director of Institutional Giving, the Institutional Giving Coordinator will support Opera Philadelphia's artistic, educational, and strategic initiatives, helping achieve a $2M foundation, corporate, and government fundraising goal. You will support the Institutional Giving (IG) grant portfolio lifecycle process, including work on proposals, reports and communications, grant budgeting, recordkeeping, and gift acknowledgement. The ideal candidate has strong writing skills and a meticulous attention to accuracy, able to create compelling prose, complex budget documents, and clear data presentations. You will work closely with other members of a talented fundraising team and interact with administrative, finance, and program staff to advance the philanthropic goals of Opera Philadelphia. Success requires project management capability to juggle priorities and deadlines and to coordinate with internal and external stakeholders. Responsibilities:

Manage the comprehensive Institutional Giving portfolio database, and support the Director of Institutional Giving’s portfolio work:

  • Support the Director of Institutional Giving to create IG grant lifecycle documentation, including letters, proposals, budgets, presentations, acknowledgements
  • Ensure the IG portfolio records are maintained and updated in Tessitura, the organization’s CRM database and other internal records for all institutional files are meticulously maintained, including plan steps, contact reports, and up-to-date cash and revenue projections
  • Maintain comprehensive IG scheduling and task management around grant lifecycle deliverables, including proposal and reporting deadlines, and funder requirements
  • Support prospect cultivation and funder stewardship
  • Support the Director of Institutional Giving to create IG grant lifecycle documentation, including letters, proposals, budgets, presentations, acknowledgements 

Key Collaborations:

  • Work with other departments to gather data and supporting materials for IG needs

Preferred Related Experience

  • Three years of experience in non-profit administration or development; significant exposure to grant writing, proposal budget creation, and grant lifecycle management is ideal
  • Excellent project management capability
  • Excellent written and oral communication skills 
  • Strong interpersonal skills including active listening and an empathic approach to the specific interests of varied audiences
  • Knowledge of basic fundraising techniques, strategies, and best practices is a plus
  • Experience with proposals for arts and arts education is a plus

Specialized Knowledge, Skills, and Traits

  • A commitment to discretion and ethical conduct, as outlined in the Association of Fundraising Professionals Code of Ethical Standards and the Association of Professional Researchers for Advancement's Statement of Ethics, is required
  • Office 365 productivity suite proficiency is a plus
  • Experience working with donor databases, research software, and project management software, especially Tessitura, Foundation Directory Online, and Asana, is a plus
  • Ability to effectively work within a team and forge strong, collegial relationships
