A "Day in the Life" of the Vendor Management and Leads Sourcing Administrator

Reporting directly to the Director of Sourcing, the Vendor Management and Leads Sourcing Administrator, administers and facilitates a range of transactional duties related to the sourcing, contracting, and maintenance of service providers. Duties many range from identifying potential providers and managing related documentation to processing and maintaining various documents and records.

Overview of Responsibilities

  • Works with Sourcing and Operations teams to discern the optimum number and types of subcontractors to meet business requirements. This includes responding to HubSpot Tickets, identifying and evaluating potential new subcontractors to meet identified needs, and assisting or supporting subsequent contract negotiations.
  • Research companies geographically throughout the United States and enter leads into HubSpot.
  • Identify, vet, and secure subcontractors based on business needs in markets around the country.
  • Conduct initial introduction calls to service providers, sharing the benefits of partnering with OpenWorks.
  • Manage and cultivate subcontractor portfolio and continuously cultivate relationships with subcontractors.
  • Coordinate all administrative documents and communications with operations and subcontractors.
  • Manage State Law requirements for Sub-contracting Licensing.
  • Manages and facilitates badging and other customer security requirements with service providers; ensures all requirements are valid and up to date; may run reports and interact with customers as required to ensure all security requirements are met. May manage confidential information.
  • Audit all insurance requirements, compliance, and documents.
  • Conduct online research using search engines, maps, and other tools.
  • Answer departmental emails and calls and share information via email to other departments and subcontractors.

What You'll Need to Succeed

  • 2 years of college or specialized training
  • Call Center experience outbound calls preferred
  • Conducting online research
  • Vendor Management experience
  • Ability to type over 40 WPM
  • Excellence phone presence
  • Proficient in Microsoft Office Suite
  • Follow through and outstanding communication skills.
  • Hubspot and ZoomInfo are a plus
