Admin & Compliance Officer Job Description
We are looking for a sharp administrator to provide support and keep the office running smoothly andefficiently. In this role, you will be required to oversee administrative and clerical activities; greet anddirect office visitors; collect, organize, and retrieve information and documents; and makearrangements for meetings and travel.To be a successful administrator, you should be committed to facilitating smooth, efficient officeoperations by planning carefully, anticipating needs, and providing responsive, reliable assistance. Youshould be adaptable, proactive, supportive, and detail oriented.Administrator Compliance Responsibilities:• Supporting employees within the organization (IND/DXB/USA)• Handling remotely the employee travels to the US• Greeting office visitors and directing them to the appropriate parties.• Handling basic office tasks, such as filing, phone calls and data entry.• Coordinating schedules and managing calendars for multiple parties to ensure that activities areproperly arranged with no conflicts.• Making travel arrangements and preparing documents, presentation materials, and facilities formeetings.• Entering and updating company, employee, and client records.• Ordering, storing, and distributing office supplies.• Maintaining, repairing, or replacing office equipment.• Directing, reviewing, and optimizing office operations to increase accuracy, productivity, andefficiency and reduce costs.• Evaluate existing company procedures to ensure compliance with internal company policiesand the requirements of regulatory agencies.• Perform compliance-related administrative tasks, such as performing data entry, filing legalpaperwork, preparing compliance audit reports, and handling phone and emailcorrespondence!• Make suggestions regarding updates to internal procedures to drive greater levels ofcompliance.• Assist the Chief Compliance Officer in establishing and putting compliance policies andprocedures into effect.• Provide compliance guidance and training to other staff members.• Work closely with the legal department to identify and investigate compliance issues and risksand suggest ways to prevent or resolve them.• Manage risk and compliance documentation.• Prepare compliance reports.Administrator Requirements:• Bachelor’s Degree in business administration or a relevant field is preferred.• At 3 -5 years’ experience in administrative & Compliance services or related fields.• Additional education, certifications, or experience is advantageous.• Understanding of accounting principles and bookkeeping software may be required.• Familiarity with office technology and equipment, including computers, fax machines, scanners,printers, phone systems, etc.• Exceptional verbal and written communication skills.• Proactive, organized approach to multitasking.• Strong leadership and interpersonal skills.• Professional appearance, courteous manner, and clear, friendly phone voice.• Ability to maintain workflow in a fast-paced environment.• Willing to work with all levels of internal management and utilize internal resources
