Job Summary:

The Mammography Clerk plays a crucial role in providing administrative support within the mammography department. Reporting to the department supervisor or manager, the Mammography Clerk ensures smooth workflow by performing clerical duties, scheduling appointments, and maintaining patient records. This role requires excellent organizational skills, attention to detail, and strong communication abilities to facilitate efficient operations and provide quality service to patients.


Key Responsibilities:

  • Greet patients and visitors in a courteous and professional manner, providing assistance and information as needed.
  • Schedule mammography appointments, coordinating with patients and other healthcare providers to arrange convenient dates and times.
  • Verify patient information and ensure accuracy of demographic and insurance details in the electronic health record (EHR) system.
  • Work effectively in Healthy Connections to be able to view reports and transfer images to PACS.
  • Maintain confidentiality of patient information and adhere to HIPAA regulations in handling medical records and sensitive data.
  • Prepare patient charts and paperwork for mammography procedures, ensuring completeness and accuracy.
  • Assist radiologists and technologists with administrative tasks during mammography exams, such as preparing equipment and supplies.
  • Monitor and manage incoming calls, voicemails, and messages related to mammography appointments and inquiries.
  • Coordinate follow-up appointments or additional imaging studies as directed by healthcare providers.
  • File and organize patient records, reports, and documentation according to departmental protocols.
  • Collaborate with other administrative staff and healthcare professionals to support interdisciplinary teamwork and patient care coordination.
  • Participate in training programs and continuing education activities to enhance job knowledge and skills.
  • Have knowledge in basic scheduling of mammography and ultrasound appointments

Education:

  • High school diploma or equivalent required.
  • Completion of medical office assistant training program or relevant certification preferred.


Experience:

  • Prior experience in a healthcare setting, particularly Radiology clerical or administrative role, is advantageous but not required.
  • Familiarity with medical terminology and electronic health record (EHR) systems is beneficial.


Professional Skills and Abilities:

  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent interpersonal skills and customer service orientation.
  • Proficiency in computer applications, including MS Office (Word, Excel, Outlook) and medical office software.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Adaptability and flexibility to handle various responsibilities in a dynamic healthcare environment.
  • Ability to maintain confidentiality and adhere to privacy regulations (e.g., HIPAA).
  • Effective communication skills, both verbal and written, to interact with patients, colleagues, and healthcare providers.


Physical Requirements:

  • Ability to sit, stand, and walk for extended periods.
  • Manual dexterity for typing, filing, and using office equipment.
  • Visual acuity and hearing ability to communicate effectively and review medical records.
  • Occasional lifting and carrying of light objects may be required.
