Program Assistant

Salary: $34,680 - $44,808

Classification: Program Assistant

Reports to: Director of Advising and Student Success

Olympic College is recruiting to fill a full-time Program Assistant position for the Advising Center Front Desk. The Program Assistant will work with the Student Development Administrative Assistant and the Advising Director to greet students who come to the physical and virtual Advising Center, answer phone calls and emails, and schedule appointments with Success Coaches.

  • Schedule meetings and appointments between Student Success Coaches and students, maintain Success Coaches’ calendars, answer phones, and take messages.
  • Provide exceptional customer service via face-to-face, email/e-chat, other web-based methods, and outbound service call as needed given the complexity of the issues.
  • Advise students, staff, and the public regarding information and interpretation of college policies and activities related to enrolling at the college.
  • Oversee and assist with managing the front desk and reception operations, including training and supervision of hourly and student employees.
  • Receive, prioritize, and process assignments, conducting follow-up as needed.
  • Coordinate with the Advising Director to support scheduling needs.
  • Prepare narrative and/or statistical reports, record, assimilate, and analyze statistical information; use spreadsheet and database software to develop and maintain records.
  • Review and research operating procedures and issues, develops solutions and/or
     recommendations.
  • Prepare reports, documents, flyers, and brochures that include graphics and other visual elements.
  • Perform complex tasks such as merging and sorting, creating tables, columns, databases and spreadsheets as well as using electronic mail and scheduling programs.
  • Demonstrate critical thinking skills to ascertain the importance and urgency of requests and situations.
  • Assist in set-up and clean-up of equipment and materials for office and/or projects. 
  • Perform other related duties as assigned and/or required.
 Minimum Qualifications
  • High School Diploma or equivalent.
  • Two (2) years of full-time clerical/office or retail work experience.
  • Intermediate experience in MS office and database management 
Preferred Qualifications
  • Experience working in a community college.
  • Experience with Student Management Systems and/or databases.
  • Comfort with utilizing Excel and Outlook on a daily basis

Terms of Employment

This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $34,680 - $44,808 All classified positions will start their salary at Step A, when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union.
