GENERAL SUMMARY: The Assistant Director of Prospective Student Services is responsible for supervising and managing personnel, functions and activities related to recruitment and student retention events, retention programs and campus visits. The Assistant Director will collaborate with leadership on various programming aspects to support new student enrollment and to enhance retention and graduation rates.
PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Support the Director of Prospective Student Services in overall team strategy.
  • Support the Prospective Student Services team in meeting its enrollment goals by actively participating in recruitment and yield programming initiatives.
  • Assist with planning, organizing, and executing a variety of events in support of student recruitment, such as but not limited to: Career Encounters, Women in Industry, and all other open house-type events for prospective students and families. Specific responsibilities include creating the individual event schedule, recruiting campus partners to participate in and support activities, communicating with faculty volunteers, organizing room reservations, ordering catering services, creating and managing all communication with registered guests, organizing assignments for student staff and professional staff, and management of other general event planning details.
  • Monitor event registration to ensure achievement of overall registration and attendance goals.
  • Assist with cultivating and nurturing relationships across campus.
  • Support the Student Experience Coordinator in providing hands-on advising, coaching, and support to OSUIT students that have indicated a need for additional guidance in making the transition to college.
  • Monitor the overall student population’s advancement toward degree completion, with enrollment and retention as high-level priorities.
  • Support the Student Experience Coordinator with providing strategic direction and leadership for planning and the execution of all prospective student tours.
  • Understand and use various software and databases, according to applicable practices and guidelines shared in training and documentation, and stay current with practices to facilitate the following: contact/communication, tracking activities, and document/data tracking, record updates, application movement, evaluations, decision-rendering, communications, recruitment efforts, event and tour support, status/progress reporting and monitoring, etc.
  • Assist with collaborating with numerous on and off campus constituents, campus leadership and departments, and enrollment colleagues to facilitate responsibilities, activities, and functions, and to maximize effectiveness, enhance and launch programs and initiative, and promote shared success.

Minimum Qualifications:

  • Bachelor degree from accredited college or university required. Other combinations of education and experience may be considered if relevant.
  • Evidences a history of demonstrating ethical and professional behavior.
  • Minimum of two years related work experience in higher education or similar environment.
  • Experience working with Technolutions Slate (CRM) highly preferred.
  • Demonstrated leadership abilities including the development of short and long-term goal setting and achievement and the ability to train and motivate staff towards results.
  • Experience evaluating data, market trends, and knowledge of current technologies that best assist in recruiting students.
  • Demonstrated experience working with diverse populations; ability to communicate and work effectively with students, staff, faculty, and external constituents.
  • Ability to make presentations and speak effectively before groups.
  • Experience in supervising student staff.
  • Ability to work well individually and in a team environment with minimal supervision.
  • Well-versed in Financial Aid language and be able to assist students and families in understanding the process.
  • High level of competency with MS Office and collection and reporting of data.
  • Willingness and ability to work irregular hours, including light travel and weekend/evening work is required.

  • Must be able to effectively contribute in a dynamic, team environment.
  • A positive “can-do” attitude along with a professional appearance and demeanor should be modeled at all times.
  • Must have a willingness to continually self-initiate learning to remain current in expertise. Should be able to quickly grasp and apply training in learning new skills and methods.
  • Must be service oriented with ability to work and respond effectively to diverse audiences of internal and external clients.
  • Strong organizational skills as well as a demonstrated ability to multi-task and work in a deadline-driven environment along with ability to develop and deliver oral presentations and written materials for a variety of audiences and multiple venues.
  • Strong verbal communication skills to include one-on-one, group presentation and facilitation skills are essential to candidate’s success.
  • Excellent written communication and listening skills and customer responsiveness are essential.
  • Must possess excellent interpersonal skills, with the ability to effectively recognize and resolve conflict.
  • Valid Oklahoma driver’s license.
  • Ability to work some evenings and weekends. A flexible work schedule may be required occasionally to meet client demands and special programming needs.
  • Travel may be required.
  • Normal office physical environment; ability to lift up to 25 pounds.
