Ojai Valley Inn is Hiring a Recreation Supervisor Near Ojai, CA

The Recreation Supervisor is responsible for the creation, planning, and implementation of Activities for the Ojai Valley Inn. The recreation supervisor reports to the Activities Manager creating and organizing activities essential to the day to day operations of Discover Ojai, Artist Cottage, Linus Bike Kiosk, Leisure, Group, and Holiday Activities. The Recreation Supervisor is the direct report for the Discover Ojai team and the Artist Cottage team, providing them with the day to day support as well as training and ongoing development. The Recreation Supervisor should spend time at all the facilities to ensure support and guidance to all team members. The Recreation supervisor is responsible for driving performance and revenue for afore mentioned outlets.

Essential:
  • Minimum of 5 (5) years’ experience in a customer service oriented position.
  • Proficiency in reading, writing, and speaking the English language.
  • Ability to perform basic arithmetic.
  • Warm and welcoming demeanor and exceptional phone etiquette.
  • Exceptional communication skills both verbal and legible written communication..

  • Ability to enforce hotel’s standards, policies and procedures with Discover Ojai staff.
  • Ability to prioritize and organize work assignments; delegate work to Discover Ojai staff.
  • Ability to direct performance of Discover Ojai staff and follow up with corrections where needed.
  • Ability to provide training and ongoing development for Discover Ojai staff.
  • Excellent motivational skills and ability to lead staff and maintain a cohesive team.

  • Ability to think and respond quickly to situations at hand and efficiently process and prioritize tasks at hand.

ESSENTIAL JOB FUNCTIONS:
  • Create SOP for Discover Ojai Agent Outreach Report that pulls all incoming resort guests for future arrivals who require outreach. Monitor Outreach and Discover Ojai inbox on daily basis.
  • Create SOP’s for Artist Cottage’s daily operations and task list.
  • Ensure billing accuracy and handle billing inquiries from agents and accounting. Ensure there are not to be Posted charges before the current Date.
  • Use sales strategies including upselling, cross selling to enhance the guest experience and train the Discover Ojai team on how to effectively sell activities.
  • Oversee the Discover Ojai checklist to ensure completion on a daily basis.
  • Oversee the Artist Cottage checklist to ensure completion on a daily basis.
  • Oversee the Linus Bike Kiosk checklist to ensure complete on a daily basis.
  • Provide support to the Artist Cottage Coordinator and communicate daily business needs.
  • Provide leadership support for the Discover Ojai team by assisting with any inquiries from Discover Ojai agents as needed.
  • Provide leadership support to the Artist Cottage team by assisting with group and leisure activities.
  • Plan, organize and anticipate future guest’s needs/wants and expectations in accordance with AAA Five Diamond and Forbes 5 Star Standards.
  • Contact guests via telephone or email for any last minute changes or assistance with scheduling activities.
  • Sell the property and activities including Spa, Golf, Activities and Food & Beverage.
  • Extend activity planning services to all Leisure guests, Past Poor Stay/VIP (through Executive Assistant) and Group guests.
  • Ensure room reservations are accurate and add special notations within the guest’s room reservation based on requests.
  • Up-sell on and off property activities, Holiday events, special events.
  • Provide prompt courteous service to emails and voice messages using clear verbal and written communication to ensure quality and completeness of reservations booked.
  • Manage the cleanliness and upkeep of the Apiary, Artist Cottage, Linus Bike Kiosk and Discover Ojai.
  • Manage the cleanliness of the golf carts for the Recreation Department.
  • Ensure guests are provided with customized guest itineraries upon arrival.
  • Maintain complete knowledge of:
    • All hotel features/services, hours of operation.
    • All hotel restaurant food concepts, menu price range, dress code and ambiance.
    • All hotel room types, numbers/names, layout, appointments, amenities and locations.
    • All hotel room rates, special packages and promotions.
    • Daily house count and expected arrivals/departures (particularly V.I.P.’s).
    • Schedule daily group activities, names and location of meeting/banquet rooms.
    • Local events, attractions, holiday schedules & events.
  • Coordinate guest requests with designated vendors according to departmental standards, to include:
    • Room accommodations.
    • Transportation from hotel to airport and return.
    • Ground transportation; Bus, Train, Limousine, Car Rentals
    • Restaurant reservations
    • Dry cleaning, laundry, alterations, repairs.
    • Sporting events, golf facilities, sport and athletic activities/rentals, outdoor activities, health club facilities.
    • Flowers.
    • Salon appointments.
    • Shoe shines.
    • Shopping services.
    • Movie/theater/attraction tickets.
    • Sightseeing tours.
    • Medical services.
    • Religious services.
  • Remain well versed in resort policies, procedures and hours of operation for the various outlets.
  • Remain well versed in OVI packages, promotions, and specials.
  • Understand and follow reservation policy pertaining to guarantees, cancellations, and no-shows and communicate them clearly to each guest.
  • Creatively be able to fulfill the guest needs or suggest alternatives if necessary to allow the guests to best utilize our resort or the local area facilities in a fashion that is meaningful to them.
  • Confirm all activities planned for your guests and secure confirmation numbers or names where applicable. Record this information for final itinerary when necessary. Communicate itinerary to guest.
  • Assist guests purchasing gift cards online and detailing reservations accordingly.
  • Obtain department keys; ensure security of such.
  • Meet with Supervisor/departing Experience Planner to review business status and follow up actions
  • Act as a team player and assist other agents with their job functions to ensure optimum service to guests.
  • Attempt to bring guest issues/complaints to a resolution, recognizing when it is necessary to forward call to manager/supervisor for further resolution.
  • Ensure confidentiality of hotel guests.
  • Set up work station with necessary supplies; maintain cleanliness throughout shift.
  • Legibly complete requisition for additional supplies/materials and submit to manager.
  • Maintain updated resource materials on all vendors and information to accommodate guest requests.
  • Review designated in-house guest list and be familiar with guests’ names and room locations.
  • Answer department telephone within 3 rings, using correct salutations and telephone etiquette.
  • Accommodate all guest requests expediently and courteously. Follow up with designated hotel personnel to ensure completion of request.
  • Place Traces for amenities and coordinate delivery of amenities to designated guest rooms in accordance with hotel standards.
  • Relay accurate directions to guests’ desired destination within local area and distribute maps with highlighted routes
  • Determine guest needs and demonstrate resourcefulness in providing solutions.
  • Mini-Groups; Collaborate with reservation agents and manage mini-groups executing guest requests and booking activities.
  • Credit Card Authorizations; Collaborate with key departments to ensure execution of credit card authorization process through Shield Q.
  • Monitor and maintain the cleanliness of the lobby and work areas.
  • Accurately post charges to guest rooms or proper PM accounts.
  • Accurately input traces in the system when arranging amenities.
  • Assist PBX, Front Desk, Bellstand and Reservations as assigned.
  • Provide guest room and hotel tours as requested.
  • Follow up on assignments given by Director or Reservations and Reservations Manager.
  • Create and develop activities that would be conducive to the children and adults guests of the hotel
And generate revenue for Activities.
  • Maintain and find new vendors that would assist in creating new activities for the hotel and its guests.
  • Coordinate with Activities Manager, Conference Services, Sales, Spa Ojai, Food & Beverage Director and other departments to ensure that the Activity Guide is updated with information to be advertised for the corresponding season.
  • Demonstrate knowledge of The Ojai Valley Inn’s management style, practices, culture, terminology, organizational structure, and general philosophy. That philosophy should be portrayed in the professional appearance, behavior, integrity, openness and accessibility to employees and parents and children.
  • Exhibit a “hands on” approach to training of Discover Ojai and Artist Cottage; developing and working along side employees and a commitment to individual growth. Maintain an open door policy to encourage and support positive employee relations and guest satisfaction.
  • Conduct and facilitate effective meetings for Discover Ojai and Artist Cottage through established agendas, effective use of time and clear objectives.
  • Prepare clear and concise correspondence, memos, letters, instructions and reports, following the correct format.
  • Ensure all Human Resource policies and practices are applied consistently while adhering to all Federal, State and Local laws.
  • Maintain a friendly yet unobtrusive manner with all parents, children and guests.
  • Communicate and delegate assignments to Activities staff.
  • Conduct Reservation Calls to the standard specified in the Forbes 5 Star Criteria.
  • Handle cleaning chemicals in accordance with OSHA regulations and hotel requirements and use correct cleaning chemicals for designated surfaces.
  • Take ownership of guest complaints by ensuring guest satisfaction. Attempt to bring guest issues/complaints to a resolution, recognizing when it is necessary to forward call to manager/supervisor for further resolution.
  • Report any facilities defects via Engineering and Know Cross to ensure timely follow through.
  • Record and Turn over any lost and found items to Security.
  • Be attentive to all parents and children, continually serving them to ensure an enjoyable visit.
  • Be aware of body language, conversation, quality of work, and attitudes around parents and children.
  • Wear proper uniform and maintain high standard in regards to personal appearance as outlined in the Employee Handbook
  • Ensure employees come to work as scheduled and arrive at work area at time listed on schedule.
  • Report accidents immediately to your immediate supervisor. Obtain department keys; ensure security of such.
  • Monitor Outreach and follow up Ojai Experience inbox on daily basis.
  • Ensure billing accuracy and handle billing inquiries from agents and accounting for Recreation Department.

  • Ensure confidentiality of hotel guests as outlined in the Confidentiality policy.
  • Review group resumes and ensure teams are up to date with in house groups and activities.
  • Accommodate all guest requests expediently and courteously. Follow up with designated hotel personnel to ensure completion of request.
  • Monitor and communicate the cleanliness and maintenance of the Artist Cottage and Discover Ojai.
  • Any other tasks, assignments, or duties as assigned by Activities Manager.

The pay for this position is $22/hour.
