We are seeking a Surgical Coordinator for our premier Oculofacial Plastic Surgery practice at Oculofacial Plastic Surgery of Hawaii. We treat patients with cosmetic and functional concerns of the eyelids, face, tear ducts, and eye socket. We perform a broad range of facial surgeries and non-surgical procedures like botulinum toxin injections, fillers, chemical peels, and laser skin rejuvenation.

As the Surgical Coordinator, you will counsel patients prior to surgery. This position is a critical role for our practice, and you will be the face of the practice for patients as they consider whether or not to book surgery. Your responsibilities will include preparing cosmetic surgery quotes, going over pre/ post op instructions with patients, requesting preop clearance and authorizations for surgery, and more.

The ideal candidate should have experience in Surgical Coordinating, and ideally in aesthetics/self-pay medical procedures/sales. You will engage in leadership decisions to ensure the highest level of patient-centered care, patient satisfaction, practice efficiency and profitability, and compliance with governmental regulations.

Responsibilities:

• Coordination of day-to-day operations of the practice

• Supervision of patient scheduling, registration, financial counseling, medical records, data entry and processing, billing and collection, and cash posting

• Promotes excellent customer service by all levels of staff

• Coordinate Surgical Scheduling (Meeting with patients to discuss pre/post operative instructions, Faxing preop orders to pcp, Scanning and uploading surgical packets, sending codes for auth request, calling patients with preop reminders, etc.)

• Preparing surgical quotes and collecting payment

• Posting cosmetic charges and payments into our PM system

• Ordering cosmetic products and injectables/ keeping inventory/ paying invoices

Qualifications and Experience:

• 3 years of experience in surgical coordinating (background in plastic surgery, dermatology, ophthalmology, or medial aesthetics is a plus)

• Experience with Practice Management software and EMR (electronic medical records)

• Excellent spoken and written English and typing skills

• Previous experience in an aesthetics field or aesthetic medical specialty is a plus

• Any experience with social media and aesthetician services is a plus.

• Foreign language abilities also a plus
