Overview

The Event Manager is primarily responsible for overseeing all aspects of the events taking place in the venue including developing, coordinating, and supervising all event related activities key to the operation of the facility including but not limited to maintaining security staffing plans, labor management, collection and distribution of event information from promoter/show representatives, billing preparation/support, customer service representation to our guests and logistics of departmental activities relating to events.

This role will pay a salary of $40,000 to $45,000.

Responsibilities

  • Advance assigned show/event with appropriate show/promoter representative in a timely fashion
  • Communicates all event information to the appropriate Departments and staff
  • Develop, implement and manage event security plans in conjunction with event security personnel and appropriate show/promoter representatives
  • Develop accurate event seating information with the Box Office Manager, Operations Manager and Food & Beverage Department, and ensures that event set-ups are accurate
  • Communicates in a timely manner with each Department Head regarding specific needs and information for each event
  • Prepares and distributes Event Orders to all staff and Departments in a timely manner
  • Prepares post event report for all events coordinated
  • Work with promoters and agents to coordinate facilitate client needs for each event and provide cost estimates as required/requested
  • Preparation of and submission of expenses for event settlement. Attend settlement if required
  • Create scheduling for all Part-Time Front Desk & Command Security Staff Monthly
  • Organize and request Part-Time Parking Staff for Monthly Events based on attendance and type of event
  • Executes other operational duties as assigned
  • Primary point of contact for daytime meetings and events, expected to cross-train, learning other event types from other event managers (trade shows, meetings, concerts, etc.)
  • Responsible for planning, coordinating, and facilitating the logistics of events throughout American Bank Center; act as liaison for building with all parties involved in the event
  • Create event layout maps using facility software programs such as Social Tables and AutoCAD
  • Tour the facility to prospective and new clients in preparation for their event
  • Timely and accurately communicate with building staff all requirements necessary for the events
  • Prepare event estimates as determined by requirements using annual budget as a guide
  • Assist Director of Events and Event Managers with planning and preparation for arena events.
  • Prepare Event Order for building personnel prior to each event
  • Present event previews/reviews in weekly staff meeting
  • Develop and control event budgets including preparing pre-event financial estimates and completing post-show financial settlements based on contractual requirements.
  • Deliver timely and accurate event information to the finance department for settlement/invoicing
  • Exercises discretion and utilizes independent decision making during events that will best represent American Bank Center and serve the client.
  • Ensure that all event insurance certificates, licenses and permits required for production are obtained in a timely manner
  • Troubleshoot during event preparation and during event to ensure that all event setups are correct including making decisions about policy, procedures, billing and staffing
  • Facilitate event load ins and load outs that are occasionally early in the mornings and/or late into the evenings
  • Communicates in a timely fashion any/all problems and proposed solutions to the Director of Events
  • Receives and responds to complaints from tenants and the public or refers them to the Director of Events & GM
  • Prepares MOD event reports noting attendance, times, significant problems, etc.
  • Interacts with other facility staff in a courteous, cooperative, and professional manner

Qualifications

  • 4-year degree from a college or university preferred
  • Three plus years experience same or similar position in arenas, convention centers, stadiums or theaters preferred 
  • Ability to work flexible and sometimes demanding schedules (including nights, weekends, holidays and extended hours)
  • Experience with Microsoft Office products, CAD and Ticketmaster ticketing software preferred
  • Currently pursuing a Bachelor’s degree in a related field from an accredited college/university with major coursework in hospitality management, facility management, event management, or related field required
  • Two (2) years of increasingly responsible event planning experience preferred
  • Proficient in use of Microsoft Office programs; experience with AutoCAD a plus
  • Ability to communicate clearly and concisely in the English language, both orally and in writing
  • Self-motivated with excellent interpersonal and communications skills and the ability to function and make management decisions in a fast paced high pressure environment with strong attention to detail and organization
  • Ability to work independently and as part of a team

While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits. Position requires constant attention to precise details and accuracy of specified standards including: following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time. Employees in this role will constantly be in leadership role; this requires directing others either verbally or in writing to complete tasks in prescribed time frame. This position also requires constant use of interpersonal skills including, but not limited to: ability to direct/motivate/inform staff and foster collaboration, ability to recognize and resolve conflicts, and ability to openly communicate verbally and in writing with clients and co-workers.

Physical Demands:

While performing the essential functions of the job, the employee constantly operates a computer and other office devices such telephones, copy machines, etc; occasionally moves about inside the office to access storage areas, cabinets and office machinery; constantly communicates via telephone, email and in-person with others to exchange accurate information; and constantly moves about the arena and event sites before, during and after events to service clients and supervise staff. Work Environment:

The essential functions of this position are performed indoors. The noise level in the work environment can range from minimal to loud during events, depending on the incumbent’s location, and minimal during non-event times.
