The Office of Assisted Outpatient Treatment (AOT) is responsible for the management and oversight of the Assisted Outpatient Treatment Program in New York City. The New York State Legislature passed Kendra’s law as an amendment to the Mental Hygiene Law to allow for outpatient civil commitment of individuals with histories of serious mental illness, difficulty engaging in rehabilitation, and who present high risk to themselves or the community. The program enables these individuals to live safely in the community, avoid repeated inpatient hospitalizations, and ensure they have access to comprehensive outpatient services.
Duties will include but not be limited to:
  • Supervise and train clerical staff engaged in routine clerical activities, ensuring that there is always appropriate clerical support.
  • Provide oversight for all clerical functions of the team, making decisions and judgement calls as needed and reporting trends and findings to the Assistant Directors, administration, or their designee.
  • Provide coverage for clerical functions when needed.
  • Under the direction of the Assistant Directors and/or AOT Administration, disseminate assignments to all office staff.
  • Manage delivery of records electronically or physically to external partners, exam sites, courts, attorneys, and other entities as required.
  • Monitor all court and exam activities (i.e., track subpoenas, HIPPA releases, notice of consent forms, prepare legal documents, etc.)
  • Maintain various calendars related to court and exams.
  • Interface with internal and external sources (i.e., process servers, providers, State Office of Mental Health, courts, etc.)
  • Complete general office duties such as answer phones, draft correspondences, send and receive faxes and emails, ensure that team has appropriate supplies, operate all related office equipment, etc.)
  • Input requested data into AOT database systems and oversee, supervise, and review the input of clerical and support staff.
  • Manage the office logistics and assist the Assistant Directors and AOT Administration as needed.
  • Evaluate and manage summer youth interns, transitional employment interns and volunteers, delegating responsibilities as needed.
  • Perform other duties as needed for the benefit of the program.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.


Preferred Skills

- Supervisory experience - Ability to use Microsoft Windows. Word, Excel, Visio, Access, and PowerPoint - Good written and verbal communication skills - Good organization and time management skills - Cursory knowledge of mental health terminology and diagnosis
