Assistant Hospital Manager- Job Description –
Introduction
The purpose of this position is to supervise, direct, plan and coordinate a variety of service functions that are principally supporting the North Country Veterinary Services -Oswego Team under the direction of the Hospital Manager. These service functions may include, but are not limited to, reception, maintenance of hospital records, accounts maintenance, account processing, procurement of hospital and medical equipment, typing and word processing, ensuring the efficient flow of the hospital, and maintaining a positive/supportive work culture. The Assistant Hospital Manager assists in other areas of the hospital when needs arise provided there are no urgent managerial tasks that need to be prioritized.
PRIMARY JOB RESPONSIBILITIES
·Direct the hospital team in their performance of a variety of clerical and veterinary duties that expedite flow to ensure optimal client and patient care. Oversee the screening of veterinary records, appointments, and employee schedules.
·Ensure client and patient care standards are being exceeded.
·Perform/oversee the performance of posting daily business, invoices, accounts payable and receivable.
·Lead Client Care Team in monthly meetings.
·Oversee training programs for new employees.
·Resolve informal client and employee concerns.
·Encourage team engagement.
·Ensures all employees are taking required breaks and works with the Lead Veterinary Technician in ensuring effective staff schedule that honors a healthy work/life balance, and keeps overtime to a minimum.
·Ensures proper money handling by auditing deposits, minimizing account adjustments, auditing for missed or incorrect charges and providers, and safeguards deposits.
·Works well with all team members and ensures that your actions support the veterinarians and North Country Veterinary Services.
·Perform other duties as assigned.
CONTROLS OVER WORK
Works under the direction of the Hospital Manager, MRO, and Division Leader. Recognizes non-routine or unusual situations and refers them to the Hospital Manager with recommended solutions. Work is reviewed in terms of adequacy of services provided. Guidelines consist of operation instructions and procedures for accomplishing the work specified by the Hospital Manager.
SKILLS AND KNOWLEDGE
·Possession of strong organizational skills.
·Excellent verbal and written communication skills. Possesses exceptional interpersonal communication skills.
·Knowledge of the spelling and meaning of commonly used terminology of veterinary medicine.
·Ability to work independently on assigned tasks as well as to accept direction on given assignments.
·Knowledge of computers and relevant software applications including MS Office.
·Knowledge of hospital procedures, tests, treatments, and services.
·Strong client service skills.
·Strong leadership, communication and motivational skills. Has the ability to direct, guide, and assist a group of individuals.
·Ability to show unbiased judgement when managing people and make fair and just recommendations in regards to personnel issues and/or disciplinary action.
PHYSICAL EFFORT
The physical demands described here are representative of those that must be met by an employee to successfully perform the primary functions of this job.
·Frequently position self and move about the reception area to file, use office machinery, and assist clients with merchandise.
·Frequently transports inventory to stock shelves. May handle 30 pounds and occasionally handle 50 pounds.
·Frequently required to communicate with clients, team members and associates. Must be able to exchange accurate information.
·Frequently subject to long periods of sitting and/or standing throughout the day.
WORK ENVIRONMENT
While performing the duties of this job, the employee is exposed to hazards associated with aggressive patients; hazards associated with infected animals and controlled substances; exposure to unpleasant odors and noises; exposure to bites, scratches, and animal wastes; possible exposure to contagious diseases.
Follow federal and state animal health laws and regulations including OSHA and DEA.

ESSENTIAL FUNCTIONS
·Ability to effectively use all available resources to provide the best patient care as well as ensure the profitability of the practice.
·Ability to communicate effectively, provide strong leadership and motivation to direct, guide, and assist a group of individuals including effectively solving problems, setting performance standards and monitoring performance.
·Strong communication and client service skills. Considerable tact and diplomacy is required. Ability to greet clients in a professional, friendly, hospitable manner.
·Regular attendance and timeliness are essential.
·Ability to plan and organize all veterinary administration and personnel activities.
·Oversee the preparation, maintenance and disposition of required veterinary records and other correspondence.
·Oversees inventory control system and supply activities.
·Market the practice as necessary to initiate new programs and educate clients of services available.
The base hourly range for this position is $25 - $27 per hour. Our pay ranges are primarily determined by role, level, and location. The range provided for each job posting reflects the minimum and maximum target for the position. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
