NRG Consulting Group is Hiring a Temple Shalom of Newton, Director of Operations Near West Newton, MA

The Director of Operations, reporting to the Senior Rabbi, is responsible for the congregation's facilities, operations, and security and has supervisory responsibility for administrative, clerical, maintenance, and outside contracted personnel. The Director works in collaboration with the other senior professionals to provide a harmonious environment for the achievement of the congregation's mission. This position requires some on-site availability beyond traditional business hours. 

 

Property Management

  • Provide oversight, negotiate contracts, and ensure compliance for the activities of appropriate staff/vendors to ensure the proper maintenance, repair, acquisition, and replacement of the Temple's physical assets and equipment.
  • Maintain records of maintenance history and ensure that a comprehensive preventive maintenance program is followed.
  • Provide oversight for the hiring, training, and replacing of custodial workers and contract personnel.
  • Maintain a comprehensive program of insurance to safeguard the assets of the congregation.
  • Make recommendations regarding extraordinary expenses to the Senior Rabbi, Board, Executive, Facilities, and Finance Committees.
  • Recommend and implement consistent policies and guidelines for the use of Temple facilities for meetings, lifecycle events, and congregational programs.
  • Manage facilities budget. 
  • Maintain and manage tenant relationships.
 

Personnel Management

  • Prepare and review periodically job descriptions and personnel records for all administrative, clerical, and maintenance employees in accordance with applicable laws and temple policies.
  • Recruit, train, supervise, evaluate, and dismiss (when necessary) all administrative, clerical, and maintenance employees.
  • Allocate personnel workloads and workflow among the various support staff to ensure the timely and effective completion of work tasks.
  • Establish personnel guidelines consistent with Temple policies.
  • Maintain knowledge about changes in labor law and employment practices.
  • Promote the professional development of the staff and ensure their skills and knowledge remain current for their relevant roles.
  • Manage a team of 3-4 people in the following roles: administrative assistants, facilities support and event accommodator.

Office Management

  • Manage the various administrative functions of the office on a day-to-day basis.
  • Ensure that the proper systems are implemented to handle membership data, financial programs and reporting, dues collections, publications, High Holy Day ticketing, yahrzeit information, and all other matters necessary for the smooth operation of the synagogue.
  • Ensure efficient use of computer hardware and software to accomplish office procedures and effective communication with congregation members.
  • Maintain the Master Calendar for booking events, rooms, and equipment.
  • Oversee the maintenance of congregational archives, records, and minutes.
  • Provide support for Temple auxiliaries, committees, task forces, and interest groups to address needs for space usage. 
 

Event and Program Coordination 

  • Oversee events and rentals scheduled on-site throughout the year and ensure proper set-up and support is in place. This includes all High Holiday related activities.
  • Craft and coordinate the usage of consistent operational procedures for all ongoing synagogue functions and events, consistent with our priorities and vision.
  • Ensure all interactions with the synagogue office are handled in a professional manner and the experience is pleasant for all community members.

Safety and Security 

  • Oversee and execute, in conjunction with the security committee, the temple’s security needs on a daily, monthly, and annual basis. 
  • Coordinate contract, schedule, and security needs with temple’s private security company.
  • Manage employed security officers.
  • Maintain relationships with Newton Police and Fire for annual walk thrus, routine drills, and other needs as they arise. 
  • Stay abreast of security trends at like synagogues in the area and across the nation. 
  • Ensure routine evacuation and shelter-in-place training is provided to staff and volunteers. 
  • Maintain go-bags in each room. 
  • Apply for grants to support the funding of security initiative needs. 
 

Requirements

  • 3 to 5 years of professional work experience, with significant time spent in positions with a focus on systems and process development, operations, staff and facilities management.
  • Process-oriented, collaborative, forward thinker who promotes integration of operations from all temple functions and programs.
  • Superior organizational skills with demonstrated ability to prioritize work; expert at focusing on both long-term issues and daily, practical issues.
  • Strong strategic and tactical thinking, project management skills, and attention to detail.

Compensation

  • $80,000 - $85,000 / year.
