Novak Heating & Air Conditioning Inc is Hiring an Office Assistant/Receptionist Near Hiawatha, IA

the Summary:

The role of Office Assistant & Receptionist will support our family owned Heating and Air Conditioning company by handling day-to-day administrative tasks for supporting the business and the office. This position requires a reliable, detail-oriented, organized person who exhibits a positive attitude, a desire to work as efficiently as possible, the ability to handle multiple tasks at once, and excellent client-facing communication skills.

We are seeking an individual for help during our busy summer months, usually we slow down around August/September. This is a great opportunity for someone looking for a daytime job over the summer.

Key Responsibilities & Essential Functions:

  • Answer multi-line phone system and direct calls as required professionally
  • Able to accurately answer customer questions or resolve issues by researching, gathering information, and the use of probing questions to uncover issues or questions
  • Works to resolve customer questions or issues tactfully and accurately
  • Basic Accounting
  • Schedule and dispatch installers and field employees
  • Working with the team to organize and direct service techinicians
  • Filing and organizing
  • Performs other duties as assigned

  • Organizes, Plans, and Prioritizes Work: develops specific goals and plans to prioritize, organize and accomplish work. Communicates expectations and status updates. Able to handle the shift from one task to another with unplanned interruptions.
  • Attention to Detail: The ability to manipulate small pieces of data with accuracy and focus. Work with details while achieving thoroughness and accuracy when accomplishing a task through concern for all the areas involved. Provides correct, consistent numbers on all paperwork.
  • Customer Focus: Able to demonstrate a high level of service delivery; do what is necessary to ensure customer satisfaction; deal with service failures and prioritize customer needs.
  • Communication: Able to clearly present information through the spoken or written word; read and interpret complex information; talk with customers or clients; listen to understand.

  • Team Work: Able to share due credit with coworkers; display enthusiasm and promote a friendly group working environment; work closely with other departments as necessary; support group decisions and solicit opinions from coworkers; display team spirit.
  • Relationship Management: Able to develop rapport with others and recognize their concerns and feelings; develops constructive and cooperative working relationships with other and maintains them over time.
  • Self-starter/Manages Self: Able to motivate self by setting daily/weekly goals leading to overall goals; manages time and prioritizes work; energetic, individual who approaches challenges with enthusiasm and a positive attitude.

  • Stress Tolerance: Job requires accepting criticism and dealing calmly and effectively with high stress situations.

Job Requirements/Specifications:

  • High school diploma/GED required
  • Experience in an administrative capacity preferred
  • Customer service experience preferred
  • Experience in heating and air conditioning office nice to have, not required
  • Ability to read, write, interpret and verbally give instructions
  • Proficiency with computers, including Microsoft Word and Excel
  • Reliable and pleasant friendly disposition
  • Strong interpersonal communication skills
  • Able to multi-task while staying organized
  • Ability to lift 20 pounds
  • Satisfy a standard pre-employment background check

Job Types: Part-time, Temporary

Pay: $15.00 - $20.00 per hour

Expected hours: 20 – 40 per week

Schedule:

  • Day shift
  • Monday to Friday
