Job Summary
Under limited supervision, the Student and Administrative Coordinator performs activities for the Dental Hygiene Program.

Director of Dental Hygiene
Education/Qualifications
Minimum Qualifications including education, experience, required licensures, certifications, and registrations:
Education:
  • Associate degree preferred.
  • Two years’ related experience preferred

General Office Support:
Filing, phones, correspondence, equipment, mailings, signage, supplies; inventorying; assure facilities are in good working condition and appearance; facility key requests; scheduling of related activities; purchasing; budget transactions and tracking for department and club; updating documents and web pages; travel and catering; collecting data & statistics; use Survey Monkey or other resources to update and create surveys; update and maintain contracts and agreements; course set up & updating; use college systems to gather data; updates and maintains program publications and information sheets; promote customer satisfaction by acting as a liaison with students, staff, faculty, and community members; purge and shred outdated materials; maintain historical documents in confidential manner.

Student Support:
Provide program advising to prospective students; serve as the coordinator for prospective students; manage prospective applicants for admission to the dental hygiene program; process and verify application information; collect student documentation: immunization records, CPR cards, background checks, grades, financial aid data, student health records, clinical paperwork, etc.; schedule and conduct department tours; utilize college systems to obtain student transcript information; monitor completion of degree requirements etc.; prepare & distribute current program information; schedule student appointments; confidentially maintain student and advisee files; collect & report grades; create award certificates; post-employment information for students; coordinate communications to students; assist with student scholarship coordination; support/assist with dental hygiene club activities.

Faculty Support:
Proctor exams in the absence of an instructor; record minutes for meetings and prepare meeting agendas; assist faculty with syllabus updating; order and maintain teaching supplies and equipment, including technology-related materials; update curriculum documents as directed; post and maintain program materials in shared drive or cloud service; assists faculty with professional development requests; assist with student testing software; coordinate room scheduling for classes and other teaching/non-teaching activities; assist with applicable faculty orientation; gather and submit faculty office hour schedules; forward student needs/concerns to faculty advisor; provide support for faculty special projects; works with faculty on procuring teaching materials.

Administrative Support:
Log & track student information and statistics for annual program reporting and for marketing; work with Admissions and Records offices; use approved software and programs to access and review transcripts, GPA, schedules, and student profile information; post department job listings; attend and take minutes for division meetings, faculty meetings and advisory board meetings as needed and distribute in a timely manner; assist with preparation of reports for state and national agencies; assist with collection of information and compilation of data for the accreditation process for the Commission on Dental Accreditation (CODA); collect data for program retention plans; assist with special projects for the college and/or department; maintain and updates director schedule; assist with special program projects; assists with data related to student complaint log; assists with program recruitment activities.
