Northern Impact is Hiring a Manager | Payroll Processes & Systems Near Lincolnshire, IL

Overview

One of America's largest retailers is seeking a Manager for Payroll Processes & Systems for their Lincolnshire office. The Manager, Payroll Processes and Systems leads process improvements and documentation, data management, security, and system enhancements to increase efficiencies and effectiveness of the payroll department. This Manager will also partner with other payroll team members as well as HR and other stakeholders to complete special projects related to HCM implementation, compliance reporting, payroll, financial and 401(k) audits, and other projects identified by the Payroll Director as needed.

The position will report to the Director of Credit Card & Payments and will be based in their Lincolnshire office. (There is flexibility to be based in the Downtown Chicago office) This is a hybrid position with 3 days a week in the office. 

Roles and Responsibilities

  • Reviews existing payroll processes, reports, and associated systems to identify opportunities and make recommendations for process enhancements, and leads execution in partnership with key stakeholders to ensure effective implementation and ongoing maintenance.

  • Provides a responsive, accurate client advisory service on payroll matters, resolves complex and difficult inquiries, and assists in identifying payroll errors and implementing corrective action where required to ensure employee salaries are processed accurately and database integrity is maintained.

  • Runs reports to perform data analysis, comparing advanced data formulas, and documents issues on payroll and related fiscal activities to identify and solve systemic issues or problems.

  • Leads project and change management in compliance and/or other related audit projects (i.e., SOX, PTO Audit, Hire/Rehire Audit dates, etc.) by performing periodic internal and external audits and preparing materials for external or internal auditors and SOX compliance.

  • Participates in UAT to test any upgrades and/or new implementations prior to production to ensure accurate implementation.

  • Partners with cross-functional stakeholders and 3rd party vendors for integration requirements, data integrity, and testing.

  • Partners with HR to provide input into new Payroll processes, prioritize projects/enhancements, map business processes, configurations, data management, security architecture, and reporting.

  • Acts as a key contributor to the implementation of Workday and serves as subject matter expert and system administrator as it relates to payroll for Workday and ADP.

  • Performs outbound and inbound integrations of Workday/ADP Payroll systems data to other internal company systems and external third-party vendors.

  • Develops process documentation, reviews and updates existing training materials, and develops new materials where needed on payroll processing. Maintains internal policies and procedures in accordance with legal requirements as directed.

Skills & Abilities
  • Lean 6 Sigma experience/knowledge and/or demonstrated process improvement experiences.

  • Advanced Excel and Access database management skills and experience managing large sets of data. Proficient knowledge of MS Office Suite.

  • Strong initiative and internal motivation to continually learn additional Workday modules.

  • Exceptional critical and analytical thinking skills.

  • Exceptional interpersonal skills and influencing skills. Demonstrated ability to interact effectively with all levels of the organization as well as external contacts.

  • High level of integrity and ability to maintain strict confidentiality and handle sensitive data. 

Experience & Education
  • Bachelor’s degree in accounting preferred or equivalent combination of education/experience.

  • FPC or CPP preferred. Workday certifications for Payroll a plus.

  • Five (5) to eight (8) years of payroll administration and analysis experience in high volume, multi-state environment, including five (5) years of project management, research & analysis, process improvement/optimization demonstrated performance.

  • Two (2) to Four (4) years ADP experience and prefer at least one full cycle of Workday payroll implementation experience.

  • Seasoned knowledge of Payroll functional areas and workflows and all aspects of payroll laws and regulations.

  • Preferred Programming: Visual Basic, SQL, Access, macros in Excel and Word
