IN THIS ROLE YOU WILL:Job Description:
RESPONSIBILITIES:Workflow management: Responsible for ensuring the efficient flow of documents and paperwork through the Budget office. Expected to review, recommend, develop and implement workflow process improvements and modernization. Handles confidential documents.
Technical knowledge: Position requires working knowledge of various software programs including Banner, Workday, Access, Excel and Word, and ability to learn new skills as needed. Position also requires extensive knowledge of policies and procedures for reviewing budget-related transactions.
Primary contact: Serves as primary contact for incoming questions and training from other departments. Answers inquiries and resolves problems that require the interpretation, explanation, and justification of administrative and programmatic policies and procedures. Assists departments with using Self-Service Banner (SSB) and Workday. Confirms account balances. Answers personal services inquiries. Train operational department staff in SSB and Workday functions. Independently responds to routine inquiries.
Auditing/Reviewing: Responsible for reviewing budgetary transactions for budget accuracy and ensuring that proper procedures are followed with regards to signatures, information and authorizations. First level approval/review of budgetary transactions. Manages workflow for faculty contracts and audits documents for budget accuracy, information and signatures. Works with other departments including Academic Affairs and Human Resources to resolve problems and issues.
Office Management: Creates, maintains, and updates office files, both hard copy and electronic. Manages inventory for the department. Monitors office budget, reconciling with Banner. Prepares requisitions for office supplies, travel documentation and other purchases/services. Maintains staff calendar.
Performs related duties as assigned.
Minimal Qualifications:
CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER:
1. High school diploma or equivalent.
2. Any one or combination totaling three (3) years (36 months) from the categories below:
A. course work in accounting, business administration, finance, statistics, or a closely related field, as measured by the following conversion table or its proportional equivalent:
B. Work experience in budgeting, financial management, or closely related experience.
Departmental Preferences:
Ability to work independently, with little supervision to achieve timely, as planned results, with high quality of deliverables.
Ability to communicate effectively orally and in writing with different levels of university management, employees and staff as well as those from external agencies (i.e. Illinois Board of Higher Education).
Excellent financial, budgeting, problem-solving skills, as well as the ability to manage multiple tasks simultaneously.
Ability to interact effectively and create and maintain harmonious relationships with a diverse population of staff, faculty, students and off-campus constituents.
Ability to quickly learn a variety of software systems relevant to the position
Highly proficient in Excel and other MS Office applications (Word, PowerPoint, Project.)

Salary Range:$40,000 - $48,000
Benefits:Comprehensive benefits package including health, dental, and vision benefits, generous time off plans, and participation in the State Universities Retirement System.
Hours:
Monday through Friday, 8:30 a.m. - 4:30 p.m.(some weekends and evenings; Hours may vary depending on departmental needs}
