Office Assistant Administrator/Accountant

Job Description

We are looking for an office administrator to assist with the organization and coordination of administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

Administrator duties and responsibilities may include

  • performing various bookkeeping duties
  • preparing invoices
  • monitoring and updating regulatory guideline materials and renewal dates
  • maintaining test report files
  • preparing deposits
  • supporting dispatch/operations/shipping
  • updating training schedules and files
  • preparing account reconciliations
  • processing bills
  • ordering office/business supplies
  • providing general administrative support
  • handling errands
  • other projects as needed

Previous experience as an office administrator would be an advantage. A successful Office Assistant Administrator should have experience and be proficient in its use with a variety of office software (email tools, spreadsheets, Quickbooks and databases) and be able to accurately handle administrative duties, independently. Ultimately, the office assistant administrator should be able to assist with the smooth running of the office and help to improve company procedures and day-to-day operation.

Tasks

  • Invoice customers for products and services rendered
  • Provide assistance and general support, work on special projects, as needed
  • Monitor renewal dates for registrations and permits
  • Check for orders, process payments and deposits
  • Order various supplies and materials
  • Provide assistance with office duties including coordination of facility maintenance, mailings/collections, supplies, cash collection, bills, errands, shopping
  • Inventory management
  • Handling deposits and account reconciliations
  • Partner with HR to update and maintain office policies as necessary
  • Organize office operations and procedures with drivers
  • Procure items needed for office use, and provide purchase orders to vendors for products bought
  • Manage day-to-day, ensure accurate and timely reporting

Skills

  • Proven experience in an office setting, as an office staff member or administrative assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools and other online applications
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus, Bachelor’s degree preferred with business degree
