Description

Position Summary: 

The Vaccine Program Coordinator will affect the productive and efficient operation of assigned clinic or department through timely and attentive administrative support. Manage the vaccines for the clinic. Supports the medical team with keeping vaccines up to date. Good record keeping in following with the Vaccines for Children program and adult vaccinations and keeping the clinic compliant. Able to administer and educate staff on how to administer vaccinations.

Primary Accountabilities: 

Achieve Results 

  • Ensure the safe, productive, and efficient operation of the clinic assigned through timely and attentive administrative and clinic support (as authorized or licensed). 
  • Ensure that patients experience a positive experience, treated with the care and compassion expected. 
  • Ensure all patient records and related documents are managed and maintained timely, accurately, and consistent with all HIPAA and related regulations and requirements 

Operational Excellence 

  • Ensure all tasks provided and associated with patient care, patient administrative processes, and related duties complies with all regulatory and accreditation standards, as well as clinic policies and procedures. 

  • As duties for Vaccine Program are complete, provide assistance in the Pharmacy department. 

Relationships 

  • Provide supportive care for the medical teams in regards to anything related to vaccines including educating medical assistants on how to administer vaccination. 
  • Establish favorable working relationships with all colleagues 

Stewardship and Professionalism 

  • Uphold and consistently represent the values and mission of NOHN at all times. 
  • Ensure compliance and attention to all corporate, state and federal policies and procedures. 

Primary Tasks and Duties: 

  • Keep adequate stock of vaccines 
  • Rotate stock - watch expiration dates 
  • Manage expired vaccines 
  • Track Temperature Logs - watch for temperature excursions and report any excursions to the Senior Clinical Services manager 
  • Order Vaccines 
  • Transfer soon to expire vaccines to another clinic that is part of NOHN or reach out to another clinic according to WAIIS policy.
  • Set up new Medical Assistants in the WAIIS system 
  • Administer vaccinations
  • Educate Medical Assistants on how to administer vaccinations
  • Keep all documentation in the vaccine binder 
  • Enter new vaccine lot numbers into Lot Manager 
  • Participate in the site visit at all the clinics 
  • Maintain continuing education as required by the VFC program 
  • Audit vaccine usage, reconcile discrepancies, update Epic Lot Manager. 

Essential Functions: 

  • Read, write, and maintain patient records and related administrative documentation 
  • Knowledge and ability to use requisite tools, systems, technology and equipment in the collection of patient data 
  • Utilize computers in the collection, management, and reporting of patient records 
  • Ability to work with a diverse, sometimes difficult and demanding patient population 

Qualifications


Position Requirements: 

Education 

  • High school diploma or equivalent 

  • Successful completion of a medical terminology course 

  • Previous work history of working in a medical clinic or in a medical role. 

  • Current license active, MA-C, pharmacy technician, LPN preferred 

Experience 

  • Demonstrated success with clear thinking and ability to reorganize as needed. 

  • Demonstrated success in working independently, prioritization and problem solving. 

  • Demonstrated success in organization abilities. 

  • Demonstrated success in computer skills including ability to use EMR records, word documents and reasonable keyboard skills. 

  • Demonstrated success in customer service/patient services or working with the general public, preferably in an ambulatory medical facility. 

  • Demonstrated success in managing difficult customer situations. 

  • Significant knowledge of medical practices and procedures in a primary care environment. 

  • Demonstrated success and experience with direct patient services and the proper knowledge and use of medical devices and equipment. 

Working Conditions 

  • Normal outpatient ambulatory working environment. Requires good verbal and written communication skills. Must be able to speak and read the English language. 

  • Ability to move freely (standing, stooping, walking, bending, pushing and pulling) and lift to a maximum of 20 pounds.

  • The noise level is usually moderate with many conversations occurring at the same time.
