Position Overview
Primary Purpose of Position
Under general supervision of the Executive Assistant, the Administrative Support Associate performs and/or oversees a variety of associated administrative support duties to include assisting with planning activities, database management, records administration, answering phones, and completing administrative functions as assigned.
Primary Function of Organizational Unit
The Division of Student Affairs is committed to the academic success and holistic development of our students. We foster growth and development through Living Learning Communities, leadership programs, and other collaborative efforts with the entire University community. The Office of the Vice Chancellor for Student Affairs provide an array of administrative support functions to assist the Vice Chancellor with managing the day-to-day operations of the division.
We encourage our students to take advantage of the many programs and services offered through our division which include the Campus Recreation Center, Counseling Services, Dean of Students, Greek Life, Health Services, Housing & Residence Life, Intercultural Engagement, Leadership & Civic Engagement, Student Center, and University Events Center.
Work Hours
8:00AM - 5:00PM; Monday - Friday

Duties
Performs administrative support tasks such as proofreading, composing emails, correspondence, coordinating mailing, opening and distributing mail, preparing documents as needed. Searches via the internet.
Creates and edits administrative documents associated with the department’s primary business.
Pays attention to detail and maintains accurate paper filing of the contents of Student Disciplinary File Folders, incident reports for students, personnel paperwork for Student Affairs divisional employees.
Controls copies of incident reports forwarded from the University Police and Dean of Students Office to the Vice Chancellor for Student Affairs with filing records.
Maintains the daily shared calendar on Microsoft Office 365/MS Outlook scheduling appointments and events for the Vice Chancellor and alerts the Executive Assistant and the Vice Chancellor of any changes.
Provides log sheets for keys being requested for rooms in the Murphy Hall, people having access to conference rooms 100 and 200 in Murphy Hall and the electrical equipment room, and performance evaluations sent to the VC Office for signature.
Supervises the inventory of items in the departments for Property Management on behalf of the VC.

Assists with the establishment of systems to streamline office flow via use of computers and other technology driven devices to ensure effectiveness and efficiency of administrative procedures.
Utilizes and stays current with new software and technologies in order to prepare documents and reports.
Utilizes copiers, printers, scanners, projectors, iPads, and a variety of office technologies to perform work.
Uses Aggie Access for time sheet reporting for self-service and student workers’ timesheets per request.

Greets personnel entering the office, determine the nature and purpose of visit and directs or escorts them to the appropriate person or area.
Receives incoming calls, screens and forward calls, providing detailed information when taking messages.
Listens and responds appropriately to the needs of the students based on their inquiries and refers them to the appropriate offices in the building or on campus.
Provides excellent customer service to students, faculty, administrators, staff, community supporters and others in a prompt, professional, ethical and courteous manner.
Maintains a collaborative working relationship with the Vice Chancellor, Executive Assistant, Chancellor’s Office, Cabinet members, Executive Directors, staff, and students.

Duties
Gathers information in relation to the Vice Chancellor’s student complaints and forwards to the the Executive Assistant, Assistant Vice Chancellor for Student Affairs, and Dean of Students.
Serves as the building representative for Murphy Hall, managing work order requests, and the distribution of keys for the building.
Works closely with the building security guard to keep the building and parking area surroundings as safe as possible on a daily basis.
Makes sure all the outside doors are locked at 5pm in Murphy Hall in the absence of a security guard.
Assigns tasks to temporary employees on behalf of the Executive Assistant.
Serves as the contact person for work orders through the Facilities Department for Murphy Hall.
Serves as the contact person to request service from IT on Cherwell.
Calls for service repairs of machines and food service for meetings when needed.
Monitors tasks assigned to work study students.
