Job Description

Role and Responsibilities

The Accountant reports to the Business Director Officer, Comptroller, and President/COO of BraveHearts. The role of the Accountant is to assist in managing organizations finances and bookkeeping upkeep. The following are the responsibilities of the Accountant:

  • Collects vendor invoices, payments, and donations on a weekly basis from both farms
  • Process mobile and bank deposits
  • Record donations in Neon & synchronize with QuickBooks
  • Record payments for Therapeutic Riding & Outpatient Clinic in QuickBooks
  • Create invoicing for program needs such as Therapeutic Riding student billing and Outpatient Clinic Group Invoicing in QuickBooks
  • Process monthly Horse Boarder invoices & payments in QuickBooks
  • Submit payment history and explanation of benefits statements for Outpatient Clinic to Chicagoland Medical Billing Process
  • Post pledges receivable in Neon & synchronize with QuickBooks
  • Enter In-Kind donations in Neon & synchronize with QuickBooks
  • Review receivable aging and inform appropriate staff of overdue accounts when necessary; update SmartSheets
  • Send reminders to participants with past due accounts
  • Create monthly donation report and distribute by 10thof each month
  • Prepare mail merge of thank you letters in Neon quarterly
  • Prepare year end tax letters in Neon
  • Review incoming Vendor Invoices for accuracy and appropriateness and enter in BILL
  • Support vendor relationships as need arises
  • Record any auto-pay invoices into QuickBooks & reconcile to vendor statements
  • Manage credit card activity in Divvy; review categories/classes & synchronize with QuickBooks
  • Manage 1099 system (request forms W-9 from vendors/process forms 1099 at year-end)
  • Manage scholarship spreadsheet to reflect donations received and scholarships awarded & reconcile to QuickBooks
  • Record third-party payment processing and reconciling. I.e.. Paypal & Stripe
  • Review any exceptions sent through First American Bank CashTrac in Positive Pay & reconcile exceptions by 12pmCST each day
  • Reconcile CMBS reports – Billing/Therapist Invoices/Attendance & Payments to QB (monthly) & Post CMBS activity (monthly)
  • Prepare prepaid insurance reconciliation & post journal entry
  • Post journal entry for activity in Merrill Lynch accounts (monthly)
  • Post journal entry for activity in Community of Foundation of McHenry County account (quarterly)
  • Prepare Finance Committee reports (monthly)
  • Provide information & reports to President/COO & other staff as requested
  • Provide information and/or prepare reports for grant applications & reporting
  • Assist in preparation of annual budget
  • Assist in preparing information for annual audit
  • Adhere to all policies and procedures set forth in the Accounting Manual
  • Store all accounting files on external hard drive and store in safe locked storage
  • Serve as an ambassador for BraveHearts
  • Assist at Special Events when collection is needed
  • Light administrative duties while onsite relative to accounting i.e. processing payments, organizing mail, answering phones
  • Accommodating organizations needed all relative to finances

Qualifications

Must have strong knowledge and over 5 years’ experience working with: of QuickBooks, MS Word, Excel, PowerPoint, Outlook & Publisher. Excellent written and oral communication skills. Must have at least 5 years of previous experience in Bookkeeping or Accounting. Must have a clean background check.

Preferred Skills

Previous experience working in a nonprofit setting. Ideal candidate has the ability to operate standard office equipment.
