Job Summary:
We are seeking a knowledgeable executive assistant / office manager to provide organizational skills and seamless customer service to our existing and new clients. You will also be creating files for new clients and keeping our CRM up to date. Utilizing our CRM to schedule annual client reviews and running monthly production reports.
A successful candidate is comfortable running everything from emails, calls, requests, scheduling, documenting files, and keeping our CRM up to date. Is meticulous and detail oriented, can prioritize and respond to requests in a timely fashion, and is continually open to learning and expanding upon their skill set.
As a liaison between our clients, financial partners, and insurance carriers, you will do everything you can to make everyone’s experience as easy as possible. A polished, friendly, professional demeanor is required. A positive attitude for doing whatever it takes to get the job done.
Responsibilities:
· Handle all incoming emails and calls for trustee and insurance business.
· Organize and schedule meetings, including zoom and in-person meetings.
· Manage executives’ daily calendar of appointments and calls.
· Process new business applications for Life Insurance, annuities, etc.
· Provide a high level of service to clients, vendors, and carriers to expedite the underwriting process.
· Communicate professionally, concisely, and effectively with internal and external customers on all issues pertaining to trustee clients and new business matters.
· Be highly effective in multi-tasking, managing, and prioritizing daily activities
· Ensure timely responses to phone calls and emails throughout the day
· Skilled at excellent customer service while getting applications processed.
To be successful, you will have to:
· Manage executives’ email, appointments, schedule, and all calls.
· Manage CRM, and document files of all correspondence.
· Monitor case progress, track down requirements and provide ongoing status updates.
· Review application information and submit online.
· Respond to quote requests by gathering client information and requesting quotes from vendors.
· Educate yourself on the latest product offerings and industry developments.
· Continuously look for ways to expedite and improve our processes and services.
· Maintain positive relationships with your representatives and underwriters – because good rapport creates a better experience for them and you

Pay: $25.00 - $28.50 per hour
