Job Overview:
We are seeking a Tenant Coordinator to join our team. The ideal candidate will be responsible for managing tenant relations, overseeing property maintenance, and ensuring a positive experience for all tenants.
Responsibilities:
Tenant Relations and Property Operations:
§ Serve as the primary on-site support for tenant relations, maintaining positive relationships with tenants and vendors.
§ Facilitate tenant move-ins and move-outs, providing orientation on building policies and procedures to new tenants.
§ Assist property management in day-to-day operations, ensuring compliance with policies, management agreements, and tenant requirements.
§ Manage tenant certificates of insurance, maintain contact lists, and ensure accurate records are updated in the database.
§ Direct tenant service requests to appropriate personnel and facilitate timely resolution.
§ Record rent collection and perform data entry into a deposit sheet to be submitted to the property manager.

§ Issue approvals for tenant work order requests, facilitate communication and coordination between tenants and service providers.
Administrative Support and Lease Administration:
§ Support property manager in maintaining accounts receivable records and generating correspondence.
§ Assist with lease administration tasks, including updating lease abstracts, and certificates of insurance.
Ensure the accuracy of records pertinent to tenants and vendors.
§ Identify maintenance, safety, and operational issues as needed and provide actionable recommendations to the Property Manager.
§ Coordinate annual building fire safety drills and track expiration dates of permits, notify the property manager in advance to facilitate timely renewals and compliance.
Maintain an updated calendar to track vendor appointments.
Perform data entry and updates in work management software as necessary, utilizing platforms such as Yardi and Mondays.
§ Manage the assignment of digital access for building entry to tenants, input email addresses into the system for access, and coordinate with relevant parties for access implementation via mobile devices.
Marketing and Leasing Coordination:
§ Manage updates to the building website, ensuring information is current.
§ Communicate and coordinate marketing strategies and leasing activities with the property manager to align with objectives.
Monitor leasing activity closely to ensure targets are met.
§ Create and distribute a quarterly newsletter via email to building tenants, covering relevant topics, leasing updates, and marketing initiatives to engage and inform the tenant community.
§ Update and manage social media platforms for the building, sharing updates, news, and relevant information to engage with the community and attract potential tenants.
Essentials Skills & Qualifications:
§ Preferred Education: 4 Year Degree
Excellent attention to detail, business writing, communication, and interpersonal skills, including the ability to listen effectively.
§ Must be able to work independently, multi-task and prioritize tasks operations.
§ Experience with data entry, basic reporting, filing, answering phones, scheduling, and communications is a must. Prior experience working in the property management, commercial real estate, or financial services industries preferred.
§ Intermediate proficiency with MS Office applications (Word, Excel-spreadsheets, Outlook), Adobe Acrobat and adaptability in using management system applications.
§ Must be proficient in communicating at all levels in both oral and written form and competent at preparing professional memorandums, letters, reports, documents, files, etc.
(Optional) - proficiency in leveraging AI language models.
