Nextivity is Hiring an Office Manager Near San Diego, CA

Summary

This role oversees all daily business operations including but not limited to planning, budgeting, and providing general administrative support to executive team and various departments as applicable, including organizing meetings and managing databases and communicate effectively with staff, suppliers, and clients.

Essential Duties & Responsibilities

  • Provides full coverage for the reception specifically when guests are expected. This does not include lunch hour or breaks.
  • Greets and welcomes customers in a courteous, professional, cooperative, and mature manner.
  • Maintains office services by organizing office operations and procedures, controlling correspondence, and designing filing systems.
  • Assists in coordinating company-wide meetings and events.
  • Responsible for the daily incoming and outgoing mail.
  • Maintains kitchen inventory including cleanup of refrigerator, dishwasher, and supply orders.
  • Maintains office supply inventory and places orders as needed.
  • Assists with placing food orders for meetings.
  • Coordinates all travel needs of Company and maintains files for each employee who travels.
  • Designs and implements office policies by establishing standards and procedures.

Other Duties & Responsibilities

  • Supports Executive Management in an administrative capacity as needed.
  • Other duties assigned as needed

Skills and Abilities

  • Must have experience as a successful individual contributor
  • Must be self-motivated, taking ownership of responsibilities, self-starting, self-managing
  • Must be proactive, taking initiative and working in a collaborative team environment
  • Knowledge of commonly used concepts, practices, and procedures in a corporate office
  • Knowledge of airline and hotel bookings/travel arrangement
  • Proficient PC usage including Microsoft Excel, PowerPoint, and WORD
  • Must be detail oriented and hands on
  • Excellent verbal and written communication skills
  • Ability to use sound judgment when representing the Company
  • Foster a professional attitude and demonstrate integrity and flexibility
  • Independent thinker able to apply critical thinking to solve problems

Work Experience

  • Minimum 2 years of experience in office management role.
  • Proficiency in Microsoft Office suite
  • Supply management experience
  • Comfort with fast-paced environment
  • Travel arrangement experience a plus

Education

  • Associate Degree or Equivalent Work Experience

  • Physical demands: While performing the duties of this job, the employee is regularly required to stand, walk, sit; use hands to type on keyboard; reach with hands and arms; talk and hear. Must have the ability to sit in front of a computer up to 8 hours per day, lift and carry boxes under 30 lbs.
  • Work environment: The noise level in the work environment is usually minimal and usually that of an office environment and/or R&D lab.
