**Job Title:** Front Desk Receptionist - Chronic Pain Management Office
**Job Summary:**
We are seeking a dedicated Front Desk Receptionist to join our team at a leading Chronic Pain Management Office. The ideal candidate will be the first point of contact for patients and visitors, providing exceptional customer service and administrative support. As a Front Desk Receptionist, you will play a vital role in ensuring smooth operations and facilitating a positive experience for our patients and providers.
**Responsibilities:**
1. Greet patients and visitors in a warm and professional manner, ensuring a welcoming atmosphere.
2. Answer incoming calls, schedule appointments using the Drchrono EHR system, and manage appointment reminders efficiently.
3. Utilize Klara, our patient communication tool, to facilitate seamless communication with patients regarding appointments, prescriptions, and other inquiries.
4. Verify patient information, insurance coverage, and process necessary paperwork accurately.
5. Assist patients with completing intake forms and ensure all required documentation is completed and filed appropriately.
6. Coordinate patient flow, ensuring timely check-ins, and address any scheduling conflicts or delays for three providers, including a doctor and two advanced practice providers.
7. Collaborate with medical staff to prioritize urgent cases and accommodate urgent appointments.
8. Handle patient inquiries, provide information about services, and address concerns or complaints promptly and courteously.
9. Maintain cleanliness and organization of the reception area, including sanitizing surfaces and ensuring reading materials are up-to-date.
10. Manage electronic health records (EHR) using Drchrono and ensure confidentiality and compliance with HIPAA regulations.
11. Assist with administrative tasks such as scanning documents, processing payments, and managing office supplies inventory.
12. Collaborate with other administrative staff to support overall office operations and workflow efficiency.
**Qualifications:**
1. High school diploma or equivalent; additional certification in office administration or healthcare administration is a plus.
2. Proven experience in a customer service or administrative role, preferably in a medical office setting.
3. Communication skills, both verbal and written, with a professional and empathetic demeanor.
4. Strong interpersonal skills and the ability to interact with diverse patient populations with sensitivity and respect.
5. Proficiency in basic computer skills, including Microsoft Office Suite and electronic medical records (EMR) systems, specifically Drchrono.
6. Experience using patient communication tools, such as Klara.
7. Ability to multitask, prioritize tasks, and work effectively in a fast-paced environment.
8. Attention to detail and accuracy in handling patient information and documentation.
9. Knowledge of medical terminology and insurance procedures is advantageous.
10. Flexibility to adapt to changing priorities and willingness to collaborate as part of a team.
