Seeking a Weatherization Assistant to join our team of professionals. Position would include record keeping, data entry, filing, and scheduling and general office duties. Also would include some administrative assistant duties. Computer skills a must, typing & data entry. High School Diploma or its equivalent. Great team atmosphere. GENERAL SUMMARY:

Under the direct supervision of the Weatherization Director, this position provides support for the Weatherization Program and support for the Fiscal Department. Office location will be in open environment accessible to all three departments.

ESSENTIAL FUNCTIONS:

  • Responsible for day-to-day data input and file management of the Weatherization Program as directed by the Weatherization Director – duties including but not limited to the following:
    • Learn the overall Iowa Weatherization Program, especially the
    • Learn and use WAMS (Weatherization Automated Management System) – a Microsoft database program which is used statewide to manage the State Weatherization Program.
    • Verify that weatherization houses are in WAMS which should happen automatically when evaluators enter the houses in NEATShell.
    • Prepare a cover sheet for each house file including notes on need for furnace or water heater quotes and need to order replacement appliances.
    • Maintain spreadsheets on status of houses- including weatherization assignments, furnace & water heater work, and appliance order/delivery.
    • When weatherization of house is complete, update WAMS file based on contractor change orders for that house so that the bill of materials total matches the amount paid the contractor. Communicate with evaluators to verify that change orders are approved before entering.
    • When houses have passed final inspection by the evaluators, make final entries on WAMS for each house so that it can be ‘completed’ and submitted to the State for reimbursement.
    • Prepare monthly reports on WAMS or submittal to the State in a timely fashion.
    • Configure files on completed houses per Director’s and State’s requirements.
    • Periodically review contractor files to ensure documentation on licensing and insurance is up to date per State standards.
    • Gather documentation and maintain any records required for adherence to Davis-Bacon Act related to weatherization program.
    • Be able to work in an open environment subject to interruptions and distractions.
    • Other duties as assigned.
  • Provide assistance to the Fiscal Department.
    • Filing of accounts receivable and payable as necessary.
    • Other duties as assigned.
  • Other duties as assigned by the agency.

SKILLS, KNOWLEDGE, and ABILITIES:

  • Ability to establish priorities and meet deadlines.
  • Ability to obtain and maintain a driver’s license, automobile, and current valid insurance in order to travel to designation locations.
  • Knowledge of Agency’s policies, practices and procedures.
  • Ability to establish and maintain effective working relationships with staff, management, and various other business and community contacts.
  • Ability to work with confidential information.
  • Ability to work in a team-based environment.
  • Ability to adapt to the organization’s changing needs.
  • Extensive knowledge of business.
  • Excellent command of the English Language.
  • Knowledge of secretarial and office administrative procedures.
  • Ability to type a minimum of fifty-five (55) WPM with a high degree in accuracy.
  • Knowledge of use and operation of standard office equipment, including personal computer, facsimile machine, photocopying machine, ten-key adding machine, telephone system, calculator, paper shredder, and laminating machine.
  • Knowledge of a variety of computer software applications in word-processing, spreadsheets, database, and presentation software.
  • High level of interpersonal skills to handle sensitive and confidential situations. Exceptional level of poise, tact, and diplomacy.
  • Ability to gather and summarize data for reports.
  • Develop solutions to various administrative problems.
  • Attention to detail in composing, typing and proofing materials.
  • Ability to provide effective supervision and direction to other staff members, including skills in motivating, coaching, and mentoring.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills, including the ability to work under pressure, prioritize projects, and meet deadlines.
  • Skill in Internet usage.
