The Role: Assistant Manager of Performance Operations

Location: Newark, NJ

Reports To: Assistant Vice President, Performance Operations

Status: Exempt/FT

Supervises: Casual Production Staff, Union Stage Crew of 11 House Crew (4 Heads, 7
Assistant Heads) and extra Crew, Artist Assistants, Runners

The New Jersey Performing Arts Center (NJPAC) is the premier anchor cultural institution in the state, distinguished not only by the world-class performers presented on its stages but by an extensive arts education program, robust community engagement initiatives that bring the arts into parks, schools, libraries and houses of worship across Greater Newark, a track record of developing new productions that tour the country; and a multifaceted mission that emphasizes the revitalization of its home city, Newark, through the power of the performing arts.

Position Summary:

As a manager in the production office, the Assistant Manager of Performance Operations works with the Assistant Vice President of Performance Operations by aiding in the day to day stage and performance related operations, including stage schedules, the maintenance of stage related equipment and facilities, performance expense management and reporting. The Assistant Manager of Performance Operations assists the Senior Director of Production to oversee the daily stage labor and other contracted employees in order to successfully fulfill the production requirements of the event. The Assistant Manager of Performance Operations will specialize in managing hospitality, transportation, hotels for shows presented at and by NJPAC. Assignments include production management of pop, rock, comedy, community engagement and arts education, internal NJPAC, and Women@NJPAC presentations along with rentals of nonprofit and for-profit live events and broadcasts. They will also work closely with the other managers in scheduling day-wage hires.

Representative Duties and Responsibilities:

  • Arrange, schedule and budget all backstage hospitality for all events. Including keeping stock of items as needed. Reducing budgets as possible by competitive bidding and careful scheduling.
  • Arrange, schedule and budget lodging for artists. Create partnerships with local hotels, reducing budgets where
possible.
  • Arrange, schedule and budget transportation for artists. Reducing budgets where possible.
  • Communicate directly with artists and/or their representatives, regarding technical riders and any other
performance and hospitality/transportation/housing needs. Manage the approved plan.
  • Oversee runners, including hiring, scheduling, payroll, and reporting.
  • Coordinate catering needs for the Local 21 crew and for the artist.
  • Supervise and manage Artist Assistants and contracted labor during an event.
  • Facilitate the hiring, scheduling, and in conjunction Assistant Vice President of Performance Operations, supervise casual production staff including Temporary Assistant Production Managers, Stage Managers, Runners, and Lighting Designers as required by the productions.
  • Advance and manage presentation of pop, rock comedy, community engagement and arts education
presentations, including rentals of nonprofit and for profit live events and broadcasts. Must be in regular
communication with clients to ensure all technical elements are implemented.
  • Provide production support and guidance to clients that do not have experience in live events.
  • Under the Assistant Vice President of Performance Operations’s guidance, formulate and implement plans to
maintain and improve quality of production standards for related operations.
  • Plan and make recommendations to the Assistant Vice President of Performance Operations for the allotment of resources required to fulfill the production requirements assigned, including equipment, dressing rooms, wardrobe, and hospitality.
  • Manage and supervise the IATSE Local 21 crew during all event calls while honoring their contract and upholding NJPAC production schedules.
  • Create and maintain daily load-in, load-out, rehearsal, and performance schedules.
  • Ensure the crew is staffed appropriately while balancing both the budget and technical needs of the event.
  • Review technical riders ensuring all elements of the event can be met and arranged.
  • Oversee the load-in, sound check, rehearsal, event, and load-out.
  • Recommend production budgets including labor, hospitality, and materials required for performance. Control
expenditures within approved budgets.
  • Work with NJPAC producers and NJPAC clients to maintain a budget of an event while keeping its artistic integrity.
  • Find efficiencies within the production schedule to be within budget while continually striving for higher accuracy of all information presented internally and to clients.
  • Close event documentation, including vendor invoices, crew payroll, contracted labor payroll and all other
production show expenses in a timely manner.
  • Cover events for fellow production managers as necessary.
  • Maintain and foster excellent relationships with clients to promote repeat business.
  • Act as Evacuation Fire Marshall for backstage talent and guests.
  • Establish clear communication with house management prior to and during an event to provide a smooth start of the event and aid in audience/artist related business.
  • Under the Assistant Vice President of Performance Operation’s guidance, formulate and implement plans to
maintain and improve quality of standards for production operations.
  • Evaluate and recommend capital improvements to theatrical equipment and to the interior of the theaters.
  • Serve as backup of other managers, processing invoices, payroll, historical edits, keeping the Google calendar
current with the most up to date schedule, assisting with new hires and artist assistant on boarding and
collaborating with finance to ensure payments of vendors, contractors, and crew.
  • Assist the Senior Production Manager with collaborating on the production workbooks.
  • Perform related duties as assigned

Qualifications and Special Requirements:

  • Three to Five years of experience in Company Management.
  • Experience touring and managing presentation of pop, rock comedy, community engagement and arts education presentations along with rentals of nonprofit and for profit live events and broadcasts preferred.
  • Experience with Production Management, Stage Management or Technical Theater; managing stagehands in a
collective bargaining environment, preferably in a multi-theater environment; experience interpreting the production needs of artists and other clients.
  • Basic broadcast understanding is highly recommended.
  • Knowledge of stage related activities such as carpentry, rigging, electrics, sound, props, costumes/wardrobe, stage design, touring, special effects, mechanization, drafting, structural engineering and theater design preferred
  • Successful budgeting and control experience.
  • Excellent verbal and written communications skills. Able to represent NJPAC to artists, clients, renters and
vendors.
  • Ability to negotiate with artists’ management and visiting production managers along with varying types of renters.
  • Ability to specify and secure outside services and materials to support NJPAC productions as needed.
  • Proficient in Microsoft Office and Google Suite, strong emphasis in Google Sheets, Google Docs, Excel, and Word.
  • Experience with financial data entry is recommended. knowledge of ADP Time and Attendance a plus.
  • Able to show initiative and work efficiently in stressful situations.
  • Ability to set own priorities and handle multiple tasks simultaneously.
  • Must have extremely strong organizational skills, accuracy, attention to details and work habits.
  • Strong problem-solving and logistics management skills are absolutely necessary.
  • Able to commit to long days and irregular hours.

Salary: $60,000 – $65,000 annually plus benefits.(Candidates with more experience will be considered.)
