New Dawn Electric, a Residential Electrical Contractor, is seeking an Office Administration Specialist. This individual is the front line of the company, creating and influencing the client experience from the first phone call through job completion. Over-the-top customer relationship skills are a must. Cutting-edge computer and application knowledge is essential. Relational sales skills are a huge plus. To be successful in this role, you must have the ability to work in a fast-paced environment, operate with urgent responsiveness to facilitate the needs of the client, display excellent communication with internal staff, and provide thorough and timely follow-up to tasks.

OFFICE ADMINISTRATION SPECIALIST

Pay Range | $16 to $21 per hour, plus unlimited incentive pay potential

8 hour shift | Monday - Friday

Reports to: Office Team Leader

The Office Administration Specialist will oversee and be responsible for all tasks and assignments that the Office Team Leader deems necessary. The efforts of this individual will be postured to increase revenue, production, and maximize efficiencies within the company. You will be responsible for regular outreach to current clients and potential new clients via phone, text, emailing and other various marketing techniques to establish rapport and offer project suggestions with ongoing and consistent client touchpoints. Your passion to help grow our business and presence must be packed with energy and momentum to be successful. The Office Administration Specialist will always strive to uphold the core values and culture of NDE while displaying a professional stance to include a forward-thinking, growth-focused, team-player attitude for the betterment of the company and the achievement of their professional development goals.

Expectations and Responsibilities for this Position

● Hyper focus on details and follow up as required. Utilize organization tools to ensure that nothing falls through the cracks when it comes to booking appointments and creating thorough service call setups and subsequent visits

● Create a positive first impression on the first call by presenting a welcoming and pleasant experience for the customer. This is accomplished by effectively listening to their needs/desires, asking the right questions so that descriptions are thorough and accurate, and demonstrating a position of gratitude. It is essential during this first call to create realistic expectations relative to costs and time related to the completion of the scope of work

● Effectively communicate to Technicians as many pertinent details of the project as possible from initial call intake. Ask any questions of the Technician where you are not sure, ahead of time. Timely responsiveness is key in this role. NDE makes best efforts to answer every call that comes in or initiates a callback immediately before they move on to a competitor. An NDE core value is to get back to the client the same day if we have other questions or need any clarification regarding their project.

● Ensure that all supplies/materials are available at time of scheduled appointment

● Schedule any necessary FPL disconnects/reconnects through the online portal

● Obtain any necessary permits related to projects when necessary along with the scheduling of inspections with the proper municipality

● Responsible for proper and accurate scheduling of Technician appointments, allowing proper drive time and arrival windows - scheduling with maximum efficiencies by way of geographic location and time

● Conduct a weekly preview of all upcoming jobs with Technicians on a regular, proactive basis to troubleshoot, plan, and forecast any potential issues

● Office support, assistance, and backup as required by the Office Team Leader. This includes phones, deliveries, personnel, time tracking, vehicles, and any facility related issues

Salary: $16.00 - $21.00 per hour

Experience:

Google Office Suite/Workspace: 1 to 4 years preferred

Administrative: 1 to 4 years, preferably within the trades

Sales/Marketing: 1 to 4 years preferred
