What to Expect:

The Care Coordinator is the main point of contact for any established patient inquiring about scheduling services from NeurAbilities. This position works with medical patients throughout their time with NeurAbilities ensuring a positive and engaging experience. In conjunction with the Hope Ambassador, the Care Coordinator works as a gatekeeper to welcome a patient or patient’s family member on their quest to achieve better health, a more independent and self-sufficient life and/or family unity.

What You Will Do:

  • Answer and triage high volume of incoming calls from current patients, ensuring patients are scheduled accurately and efficiently.
  • Communicate clearly and effectively with patients, troubleshooting any problems that may arise and ensuring they feel heard. 
  • Answer portal messages.
  • Communicate with providers about established patients and schedules.
  • Assist in checkout and scheduling of in person appointments.
  • Work in tandem with Hope Ambassadors to lead patients and family members through understanding the resources and services available at NeurAbilities to achieve personalized evaluation and treatment.
  • Respond promptly to requests for appointments and provide information on appointment availability, length, and cost of services, keeping in mind schedules and the need for expedited appointments.
  • Collaborate with other NeurAbilities team members to ensure that patients receive an unparalleled experience with NeurAbilities.
  • Gather and verify insurance information proactively addressing any concerns to ensure that a patient receives the proper service with accurate coverage.
  • Ensure patient information is thorough and accurate to avoid billing and/or payment errors.
  • Respond promptly to all patient, physician, and team member requests.
  • Communicate patient concerns and/or issues related to verifications with appropriate staff members.
  • Provide excellent customer service throughout all patient and family interactions.
  • Provide backup coverage for the Office Coordinator role during absences and staffing shortages.
  • Covers co-workers when they are unavailable and cross-trains as necessary to handle other duties as assigned.

What You Will Bring to the Team:

  • High School Diploma or equivalent.
  • Bilingual in English/Spanish, preferred.
  • Proficient understanding of Microsoft office Suite.
  • Strong knowledge and understanding of Managed Care, HMO/PPO plans and Authorization/Referral requirements.
  • 1 year of customer service experience in a medical office environment.
  • 1 year of experience as a medical receptionist, scheduling coordinator, or hospital admissions, preferred.
  • Strong customer service, interpersonal and communication (verbal and written) skills; able to maintain composure when dealing with frustrated or angry patients or family members.
  • Ability to keep some financial records and perform basic mathematical calculations.
  • Well organized with strong attention to detail.
  • Friendly, welcoming, and service oriented.
  • Flexible and adaptable with the ability to multitask and proactively problem solve.Learns quickly from verbal and written instructions. 

Required Knowledge, Skills, and Abilities:

  • Knowledge and understanding of HIPAA and confidentiality.
  • Knowledge of Electronic Health Record software preferred.
  • Knowledge of medical terminology.
  • Ability to work and provide excellent service to a diverse patient population from diverse cultural and socio-economic backgrounds with tact and diplomacy.
  • Ability to comprehend medical office routines and policies.
  • Ability to work well with others in a team-driven, fast-paced environment.
  • Able to work well and stay positive under pressure.
  • Ability to communicate well with people in personal contacts and on the phone.
  • Honest and can be trusted with confidential information.
  • Can effectively act as a liaison between patient, physicians and other office staff.
  • Strong customer service, interpersonal and communication (verbal and written) skills; able to maintain composure when dealing with frustrated or angry patients or family members.
  • Ability to work well with others in a team-driven, fast-paced environment.

Working Conditions and Physical Demands:

  • Estimated 10 % travel, dependent on need.
  • Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
  • This job operates in a professional office environment and routinely uses standard office equipment such as a computer, phone, photocopier, filing cabinet, and printer.
  • Ability to perform tasks involving physical activity, which may include light-medium moving and extensive self-positioning.
