Nestldown is Hiring a Director of Events Near Los Gatos, CA

Job Summary:
Nestldown, LLC is seeking dynamic, highly motivated, and experienced Events Director to join our team. Nestldown is a world class garden, nestled in the serene redwoods of the Los Gatos Mountains, providing an enchanting backdrop for weddings (majority of events), corporate events, and special occasions. The Events Director will play a crucial role in the growth and operation of the events department.

Responsibilities:

  • Heading a team of skilled event managers and admins, with strategic oversight of the entire event program; delegating tasks and ensuring smooth collaboration and communication among team members, vendors, customers, and departments leads.
  • Event Planning and Execution. Overseeing the planning and execution of all events hosted at the venue, ensuring they meet the standards and expectations of clients. Personally managing ~40 events per season.
  • Oversee event close out refunds and procedure.
  • Quality Control: Monitoring the quality of services provided at events, gathering feedback from clients and attendees, and implementing improvements to enhance the overall event experience.
  • Managing relationships with customers and vendors, alike.
  • Conducting in-depth post-event evaluations, gathering feedback, and analyzing data to drive improvements for future events.
  • Oversee and manage daily sales activities and strategies.
  • Collaborating with the marketing admin to develop strategies for promoting events, positive presence, and increasing event bookings at the venue.
  • Work with advertising agencies and vendors to maximize advertising investments and ensure ads represent brand identity.
  • Staying Updated on Industry Trends: Keeping abreast of industry trends, best practices, and emerging technologies in event planning and management to continuously improve the venue's offerings and stay competitive in the market. Analyze market trends and customer needs to identify areas for growth.
  • Hire, train, motivate, and lead diverse, high-performing venue teams capable of developing and executing venue operations plans efficiently and effectively.
  • Support and delvope the venue concept of operations, venue operating templates, the establishment of venue policies and procedures and other operational planning tools.
  • Develop event relationships with vendors & partnerships that are mutually beneficial, elevate events, help offset costs, and positively impact the event’s bottom line.
  • Reporting and Analysis: Generating reports on event performance, tour data, revenue, and client satisfaction metrics, and using data analysis to inform future event planning and decision-making.

Overall, the Director of Events plays a crucial role in ensuring the success of events hosted at the venue by overseeing all aspects of company policies, the events team, execution, and client satisfaction.

  • 4 years of experience in a customer facing event management/planning position in the wedding & events Industry, is required.
  • Leadership qualities with a proven track record of managing and motivating teams, 3 years required.
  • Must be extremely detail-oriented, thorough, and have great follow up.
  • Excellent time management skills with ability to prioritize required.
  • Excellent verbal and written communication skills.
  • Ability to enforce Nestldown policies and procedures in a firm but professional manner is required.
  • Available to work a flexible schedule including nights, weekends and holidays based on event schedule and in some cases an “on call” schedule during designated workdays.
  • Ability to work long hours, on your feet, with some physical tasks, not to exceed lifting 35 pounds without team assistance.
  • Ability to work independently and take initiative without constant supervision, as well as part of a team. Ability to manage multiple projects independently.
  • Proficiency with Microsoft Suite and Google Calendar are required.
  • Proficiency in additional platforms including social media, booking and customer service software is preferred.
  • Familiarity/proficiency with Aisle Planner and Adobe In Design is a plus.
  • Self-motivated to master any programs one may not be familiar with or driven to seek out own sources of education on new topics/programs, required.
  • Knowledge of QuickBooks or similar accounting software is a plus.
  • Adaptability to change in policy, structure, positions within the company and platforms used.
