Responsibilities:

We need an Office Operations Coordinator to oversee an array of internal company operations. This role is fundamental in creating the ultimate employee experience, and fostering a healthy, uplifting workplace. Key responsibilities intersect with all departments and are paramount to sustaining our great company culture. It is your job to see and hear people, facilitate, support, and act in the fine details. You will work alongside all teams, from leadership, HR, project managers, marketing, and engineers. Therefore, we expect you to be a confident and engaging person that is the positive energy force, proactively connecting people.

Day-to-Day

  • Driving Workflows : Create, plan, and develop routines and processes for the workflows you have, and contribute to team workflow organization. You are passionate about organization and accuracy, with an aptitude for problem solving.
  • Supply and Vendor Management : Maintain continuous dialogue with suppliers and vendors, including property management. You control ordering for supplies, equipment, weekly lunches, and receipt reconciliation. Youll be receiving packages and stocking inventory.
  • Facility Appearance : You have eye for detail when it comes to the office appearance and are able to troubleshoot a coffee machine. Being creative and hands on is necessary to keep the office space looking sharp and well stocked. Keeping the kitchen appliances, dishwasher and fridges organized and clean.
  • Communication : You are the daily connector for in-house office updates and manage the monthly newsletter. You handle feedback from colleagues, make suggestions, update documentation for company policies and workflows.
  • Office Health : The well-being of the people at the workplace is core of your responsibility. Being creative to enhance that well-being is highly appreciated. This could be anything from small to big changes to our office environment.
  • Projects : This is the central role in our company that wears many hats. You are the first face to greet new hires, and will own the coordination of onboarding, recruiting, team events.
Qualifications:
  • Working on-site at the office is required for this role

Required Skills

  • 1 years of experience working in office operations
  • Solid computer skills, including MS Office Suite
  • Strategic thinker with excellent analytical, written, and verbal skills, motivated to create company documentation
  • Ability to coordinate multiple schedules
  • Experience using Atlassian and MAC OS is a plus
  • Ability to lift 40 lbs

Preferred Skills

  • We appreciate relevant prior experience working in a small company with IT

Education

  • Bachelors degree or related disciplines from an accredited institution, or equivalent combination of education and experience
  • Additional experience may be substituted for a degree
