Position Responsibilities:

  • Supervise and lead the tax administrative team, providing guidance, support, and ongoing training to ensure high performance.
  • Oversee tax administrative responsibilities with respect to preparation, delivery, and tracking of engagement letters; managing incoming client tax documents; preparation of quarterly estimates and extension packages; assembly and delivery of tax returns; and ensuring all applicable tax returns and extensions are properly e-filed.
  • Communicate with professionals in various departments to ensure proper prioritization and seamless coordination of tasks and timely completion of projects.
  • Foster a collaborative and positive work environment that encourages teamwork and professional development.
  • Train newly-hired tax administrative professionals on applicable tax software, procedures, and best practices.
  • Review work of tax administrative staff for accuracy and completeness, including updates to due date tracker, tax assemblies, word processing, engagement letters, and email correspondences to clients.
  • Serve as a point of contact for clients, professional staff, and tax administrative staff regarding administrative inquiries.
  • Identify areas for process improvement within the tax administration function and implement effective solutions.
  • Identify quality control risks and work with partner in charge of tax department to implement and enforce measures to uphold the firm's standards for excellence.
  • Schedule annual tax assembly kick-off and tax administrative process improvement meetings.
  • Attend weekly scheduling meetings and communicate applicable updates to administrative staff.
  • Work with partner in charge of tax department to maintain and update all tax administrative documents (i.e. assembly instructions, administrative procedures, organizer letters, and templates) and communicate it out to administrative staff.

Qualifications:

  • Bachelor's degree
  • Minimum 5 years of administrative experience
  • Experience working in a paperless environment
  • Excellent organizational and time-management skills
  • Exceptional attention to detail and accuracy.
  • Effective communication and interpersonal skills
  • Works well under pressure and with a team; able to meet deadlines
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with tax-related software a plus but will train
  • Leadership qualities with a commitment to fostering a positive work culture
  • Availability to work in the Walnut Creek office
