Navigator Schools is a network of public charter schools that operates four high performing schools, three K-8 schools in the Northern Central Coast area and a K-5 in Hayward. Navigator exists because a group of concerned educators and parents no longer wanted to wait for someone else to figure out how to improve the quality of public school education. They were determined to demonstrate that ethnicity, early English fluency, and socio-economic status are factors outside the classroom that may challenge, but should not predetermine, a student’s academic success. With that determination, our first site was founded.

After studying best practices from schools throughout the United States, we created a rigorous K-8 full inclusion model that anticipates and meets the needs of all students. Role Summary

The Office Assistant is responsible for collaborating with the School Office Manager, administrators, faculty, staff, parents and students to effectively facilitate the daily operations of the school. The ideal candidate will have a deep commitment to student achievement, hold students and self to high expectations, and uphold Navigator school culture at all times.

Responsibilities

Administrative 

  • Provide support to the Office Manager
  • Assist school leaders with ad hoc projects as needed
  • Support the Office Manager with meeting coordination
  • Serve as a liaison between Support Office and school personnel, parents, students, school and community organizations, and general public

Attendance

  • Support the Office Manager by collecting student attendance data from teaching staff and input into the Student Information System
  • Oversee the preparation of daily absence report and oversee the maintenance of accurate daily attendance and tardy records for all students

Registrar

  • Register, release, or transfer students according to established guidelines and procedures; assist in the completion and receipt of enrollment forms; enter student and family information into database

Records

  • Prepare and maintain student records including student enrollment, class rosters, transportation, health, discipline and cumulative files
  • Maintain confidentiality of records and information as appropriate
  • Coordinate purchasing process, including obtaining appropriate approvals and initiating purchases
  • Maintain listing of key inventory items (e.g. capitalized equipment)

Accounts Payable

  • Collect invoices from vendors and assign account coding in accordance with the school budget
  • Coordinate invoice payments, including sending invoices to the Navigator Business department for payment and facilitating payment approval process

Other

  • Perform school front desk receptionist activities
  • Ability to supervise children in a positive manner
  • Understand that we are Navigator and that all employees would be required to support student learning and the day to day activities at the school
  • Attend Navigator meetings as needed
  • Post agendas (and take down after meetings) for Navigator Board meetings and minutes in a timely manner
  • Evaluate medical emergencies, administer first aid or medication to students (as appropriate) on an immediate or daily basis to meet their health care needs
  • Provide translation services upon request of the the Principal or Vice Principals
  • Perform school front desk administrative responsibilities
  • Perform other tasks as requested by site or Support Office leadership

Requirements

Qualifications

  • AA or BA Degree preferred, High School Diploma or equivalent required
  • Commitment to student success and learning
  • Bilingual Spanish required
  • Knowledge of commonly used concepts, practices, and procedures within the field
  • Reliance on instructions and pre-established guidelines to perform job functions
  • Desire to improve professionally, open to receiving coaching and feedback
  • Flexible to changing work environment; always presents with a positive attitude
  • Ability to read and write correspondence 
  • Possesses effective communication skills
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages
