Naugatuck Valley Radiology is Hiring a Medical Receptionist Near Waterbury, CT

40 Hours per week M-F 8:30AM-5:00PM with rotating Saturday coverage.

Position Primary Purpose: Responsible for performing clerical duties pertaining to the efficient record keeping of the office, as well as other related duties assigned. Recognizes and prioritizes the patient and referrers as our customers. Interacts with customers with a professional and caring demeanor at all times providing superior quality and customer service. Adheres to the NVRA confidentiality and Privacy Practices. Flexibility to work varied hours, depending on our patient care needs including all office hours and weekends. Provides proper notification for absence or tardiness.

Essential Function: Arriving Patients

Essential Duties:

  • Receives patients at the front desk reception area in a timely manner.
  • Identifies each patient and reviews and verifies each patient’s demographics, either hard copy or in the computer system. Scan photo identification into RIS. Verify the referring and cc doctor on file.
  • Verifies consistency of examination ordered with clinical diagnosis.
  • Scans, Reviews, and verifies patient insurance information, and collect patient copay as appropriate.
  • Verifies that pre-certification is obtained when necessary for the patients scheduled exam. Communicate with Billing Office Precertification department and referring office with issues.
  • Checks if a script was received; if not, contact referrer for script.
  • Responsible for prompt processing of paperwork/receiving requests and logging in patients.
  • Provide Patient Portal information.
  • Selects appropriate Appointment Reason and edits as necessary.
  • Create loan slips for patients to sign and receive foreign films from patients as needed.

Essential Function: Payments, Collections, Billing Office Communications

Essential Duties:

  • Upon receiving script, if patient has a balance due, notify Billing Office only if the account is marked for collections.
  • Process all patient payments/copays received in Royal. Send RIS message to Billing Office for TOS, CD’s, and Collection payments.
  • Notify Billing office via AVR or calling regarding issues including collection alerts, self-pay, CDs inquiries, MI message for new employer information, etc.

Essential Function: Scheduling patients

Essential Duties:

  • Schedule’s walk-in patients for exams for immediate service unless precertification or prep (i.e., fasting) is required.
  • Issues proper preparation for exam when indicated.
  • Responsible for scheduling patients via the phone, fax, or ARV. Obtain patient phone number insurance plan and ID#, Date of Birth. Complete all pre-registration questionnaires including MRI Safety Sheet (stents, implant info), Run eligibility.
  • All Modalities: Inquire about all previous exam histories relative to the exam being scheduled.

Essential Function: Checking Out Patient Films or CD’s

Essential Duties:

  • Search database to verify whether or not patient has picked up films previously.
  • Generate loan slips for patients picking up CDs to check out.
  • Burn CD and Load CD and verify that it works. Label accurately.
  • If patient is picking up films or CDs verify their identity by requesting to see their photo ID.
  • Ensures that patient signs the loan/pick up slip and scan the paperwork to the patient’s chart.
  • Generate Invoice for Attorney-requested CD’s, obtain payment, burn and send CDs/ Images.

Essential Function: Preregistration

Essential Duties:

  • Contact patient to verify demographics, contact information, and insurance.
  • Confirm appointment date, time, and exam to be performed.
  • Request patient to provide a photo ID, insurance card, an updated medication list and previous exams as necessary when arriving for exam.
  • Review prep for exam and ask if patient has any questions.
  • Identify co-pays and or deductibles to patients when available.

Essential Function: Customer Service Focus

Essential Duties:

  • Welcomes all patients immediately upon arrival at Naugatuck Valley Radiology by saying hello. Always identify self by name when answering phone. Always wears name badge, visible and above the waist.
  • Promotes a professional office atmosphere by keeping personal conversations to a minimum in public areas and within hearing distance of patients (i.e., at front desk, tech areas).
  • Thanks all referring offices and patients for choosing Naugatuck Valley Radiology to perform exams.
  • Knowledgeable about various services and locations of Naugatuck Valley Radiology offices.

Essential Function: Other Secretarial/Clerical Duties

Essential Duties:

  • Welcomes all patients immediately upon arrival at Naugatuck Valley Radiology by saying hello. Always identify self by name when answering phone. Always wears name badge, visible and above the waist.
  • Maintains ARV requests by making appropriate calls to patients for scheduling appointments.
  • Maintains the imaging in box by entering orders in the RIS/ARV.
  • Sends appropriate contact letters to patients and referrers when necessary.
  • Perform confirmation of appointments.
  • Assures prompt mailing, faxing or delivery of reports to referring physicians (including copy to another physician).
  • Checks that the next day’s paperwork is correct by verifying the correct exam, pre-certification, and the correct time.
  • Answer’s telephone/follows through on calls.
  • Requests previous images for scheduled patients.
  • Document foreign films into RIS.
  • Demonstrates proper response and reliability for weekend coverage.
  • Establishes and maintains a good rapport and cooperative working relationship with all office staff, including NVRA office and all referring offices, patients, and families.
  • Monitor’s inventory of supplies and notifies appropriate supervisor when stock is low.
  • Keeps radiology supervisor informed of any unusual concerns, situations, or conditions relative to staff, patients, and physicians.
  • Maintains knowledge of company policies and procedures regarding patient care, fire and safety, infection control disaster plans, and emergency codes per joint commission and all accredited organizations.
  • Participates in own performance appraisal by providing an annual self-evaluation and reviewing progress with NVRA supervisor or manager.
  • Attends mandatory office staff meetings.
  • Cooperates in a positive and professional manner in assisting office personnel as required.
  • Maintain office equipment with paper, toner, clearing jams, etc.
  • Performs other clerical duties as assigned by management and the Lead Receptionist.
  • Sort mail.
  • Adhering to Infection Control policies and maintaining high touch cleanliness, masking, and aware of patient isolation when necessary upon arrival.

Essential Function: Mammography Duties (for DIS, DIA, PDI)

Essential Duties:

  • Check list for diagnostic mammography scripts and make courtesy calls to request when necessary.
  • Perform other necessary mammography duties as assigned by manager for the appropriate facility.

Education/Certification: High School Diploma or equivalent.

Required Technical knowledge: Basic knowledge of computers; Knowledge of word processing and typing skills.

Experience Required: Medical Terminology knowledge preferred.

Repetitive Motions: Majority of time spent at the computer and on the phone. Movements frequently and regularly require using the wrists, hands, or fingers.

Physical: Sitting most of the time. Position requires ability to lift and carry x-ray film jackets and to file overhead. Annual flu shot is required.

Skills/Abilities: Flexibility to work varied hours as needed, including weekend hours.

Demonstration of ethical and professional conduct. Open, accurate and responsive communication, oral and written, on an individual basis or in groups. Ability to handle multiple tasks/projects and meet deadlines. Good interpersonal skills.

OCCUPATIONAL RISKS: Subject to normal occupational hazards for employee in radiological work at various sites. Employee may frequently be exposed to hazardous materials such as chemical and electromagnetic radiation as in CRT’s (VDT’s), radiation.
