National Sign & Marketing is Hiring an Office Administrator/Generalist Near Chino, CA
Position Summary:
Maintains office by completing clerical and administrative tasks for the office. This will include assisting in accounting, human resources, and general office support. Data entry in QuickBooks and Jobscope accounting systems as well as everyday administrative tasks necessary for regular business operation
Essential Duties/Responsibilities Responsible for the following administrative tasks:
Scan and archive documents as needed.
Email communications to clients, vendors, and employees as directed
Provide general support to visitors
Receive and forward all phone calls
Provide clerical support for the company
Maintain, organize, and update files
Responsible for maintaining office supply inventory and distribution
Receiving and sending mail and parcels via, USPS, UPS, Fed-ex
Inputting accounting transactions into the accounting system
Generate company invoices
Accounts Payable/Accounts Receivable
Serve visitors by greeting, welcoming, and directing them appropriately
Other duties as assigned and specified by supervisory staff.
Other Duties and Requirements:
Assist in payroll/human resources
Maintaining Compliance to ensure the company complies with current laws and regulations
Assist and support managers
Knowledge, Skills, and Abilities (minimum qualifications):
Computer literate (Outlook, Word, Excel, Adobe Acrobat)
Good written and verbal communication skills
Must have strong organizational skills and ability to multitask in a dynamic workplace
Handle multiple tasks with a high level of detail and accuracy
Independently prioritize workload
Maintain a high level of confidentiality
Positive, friendly disposition
Excellent administrative skills
Accounting/bookkeeping experience
Clear and friendly communication written and verbal
Able to work alone or as a team
Strict confidentiality of company and employee information
