Job Description

Service Administrators will split responsibilities with other Administrators. The primary responsibility will be to invoice completed service technician work. This must be done according to procedure, in a timely fashion. Administrators will also answer phones, transfer calls appropriately, take service calls from customers, open work orders, and file paperwork, along with other administrative tasks.

Duties and Responsibilities

• Invoice completed work orders for external and internal jobs
• Field and shop external billing, internal billing for rental service work. Includes service calls, quoted jobs, and maintenance.
• Batch invoice contracted full maintenance accounts on weekly and monthly basis.
• Answer phones – transfer calls and take messages accordingly.
• File hard copy paperwork in proper locations.
• Open work orders for service calls according to procedure.
• Post technician time on appropriate work orders.
• Manage report detailing status of jobs for customer owned equipment in shop.
• Prepare paperwork for inbound and outbound shop work.
• Transfer parts and labor on work orders according to procedures.
• Scrutinize parts and labor on each work order prior to invoice.
• Type technician notes on appropriate work orders.
• Make collection calls and follow up with customers on completed work.
• Process credit card statements for road technicians.
• Issue purchase orders for sublet labor.
• Manage third party billing portals for service department.
• Provide exceptional customer service while taking service calls, scheduling repairs, and collecting payment.

Qualifications

• High school diploma or equivalent required.
• Proficiency with Microsoft Office (Outlook, Excel, Word), and ERP systems preferred
• Relevant work experience preferred but not required.
• Candidates must be organized and comfortable on the phone.

Work Environment

• Position is office based, some walking will be required.

Physical Requirements

· Must be able to follow procedure and perform repetitive tasks for extended periods of time (invoicing).

· Occasional lifting of up to 25lbs.

· Frequent sitting, kneeling, bending required.
