Description:

The Tradeshow & Partnerships Coordinator role will provide high-level support and oversight for NECA’s tradeshows and partnership programs, including, NECA’s annual Convention. Collaboration and teamwork are integral for this position. Responsible for duties outlined below; others may be assigned as required. This position will have extensive contact with service contractors, vendors, and other entities providing services for or participating in exhibit operations or events. This an entry-level position, experience is not required but welcome.

Requirements:

· Excellent written and verbal communication skills.

· Excellent organizational and time management skills.

· Proficient In Microsoft Office Suite or similar software.

WORKING CONDITIONS:

· Some travel is required. General office work environment.

· This is a full-time position in-office or hybrid.

PHYSICAL REQUIREMENTS:

· Prolonged periods sitting at a desk and working on a computer.

· Prolonged periods of standing or walking needed during Convention/Events

· Must be able to lift- up to 40 pounds at times.

EDUCATION AND EXPERIENCE:

· Bachelor’s degree preferred

· Tradeshow, event, and or sponsorships experience is a plus.

· Ability to function both independently and in a team-oriented collaborative environment required.

· This role ensures that practices are customer-centric and focused on developing, managing, and enhancing the member experience while adhering to established policies.

· Capable of setting priorities when multiple demands are present.

· Administrative support experience is a plus.

Duties:

· Responsible for assisting with various aspects of exhibit and sponsorship operations and under the direction of the Associate Director of Trade Show Operations.

· Coordinates with the S&P team to assist with department budget, tradeshow budgets, and other revenue-generating activities.

· Works with team to clearly understand exhibitor needs; tracks and keeps detailed records on customized sponsorship and proposal packages.

· Fulfills and coordinates aspects of exhibit & sponsorship operations under the direction of the Associate Director of Trade Show Operations.

· Responsible for invoices, payments, and communicating with accounting related to sponsorships, tradeshow, and partnerships.

· Learns, understands, and follows IAEE guidelines.

· Fulfillment of sponsor offerings

· Ensures all exhibit and sponsor contracts and invoices are complete and paid in full prior to each event.

· Responsible for collecting, creating, and completing the compilation of the exhibitor kit.

· Reviews and edits the exhibitor website and meeting websites for sponsor recognition.

· Works with the Communications team to create operations & communication newsletters throughout each show cycle.

· Manages the Showstopper Showcase and Awards program.

· Manages and updates all event databases.

· Shares insights, observations, and best practices for improvement with others.

· Coordinates closely and records Premier Partners, Ambassador, and Affiliate tiers.

· Tracks industry network partners and updates profiles

· Other duties as assigned.
