About the Chief Strategy Office

The Chief Strategy Office (CSO) leads and oversees the development, communication, and execution of the NAACP’s mission-driven strategies. The CSO is primarily responsible for the alignment and integration of the Association’s goals throughout all levels of the organization. This focus includes various high-impact initiatives, leveraging strategies leading to sustainable growth, a comprehensive policy agenda, and innovation.

About the GIFTS Team

The GIFTS Team is part of the Development Operations team and is tasked with implementing best practices to support individual and institutional giving, including the areas of gift processing, data management and hygiene, and donor relations. 

About the Development Specialist

The NAACP seeks a dynamic individual to support the day-to-day operations of the development function. Reporting to the Vice President, Development Operations, the Development Specialist will provide administrative and operational support to the broader development function. The Development Specialist will assist front-line fundraisers to manage the data for various portfolios of work within the Association. This role also supports gift processing, acknowledgements, correspondence, and tracking activity in our database. The candidate will collaborate with various teams on special types of donations including matching gifts, split gifts, donor advised funds and financial corrections. 

The ideal candidate will have a positive, “can-do” attitude and the ability to work collaboratively with all staff and volunteers in a diverse and brisk environment; is self-motivated and highly organized, with exceptional attention to accuracy; is flexible with the ability to manage multiple deadlines simultaneously; exercises good judgment in handling confidential donor information; and has a keen passion for racial equity & social justice and strong alignment with NAACP’s mission and values.

RESPONSIBILITIES/DUTIES

  • Function as the “front door” for donors and prospects, responding to email and phone inquiries and resolving or routing appropriately;
  • Evaluates gifts to determine appropriate campaigns, funds, appeals, etc. for each gift, and makes informed decisions regarding the placement of gifts as needed.
  • Ensure gift data is handled efficiently, accurately, and confidentially;
  • Data entry into appropriate database systems (including Fluxx, Salesforce, etc.);
  • Maintain donation data; 
  • Sponsorship processing;
  • Revenue recording into data systems;
  • Research financial questions and inquiries;
  • Request recodes, as needed;
  • Request invoices, as needed;
  • Assist front-line fundraisers for required reporting;
  • Draft memos, letters, proposals and reports in connection with primary responsibilities as directed for the team;
  • Ensure that gifts are tracked, credited appropriately, and balanced to the cash journal sheet;
  • Track and monitor all required gift documentation for yearly financial audit;
  • Matching gifts management, review, and coding;
  • Weekly data review;
  • Monthly revenue reconciliations;
  • Collaborate with colleagues across the team on stewardship projects and/or special events as appropriate;
  • Manage all aspects of scheduling and preparing for both internal and external meetings (i.e. team meetings, donor visits, etc.);
  • Prepare materials and agendas, take meeting notes, arrange for catering and distribute materials for follow-up; and
  • Other related duties as assigned. 

QUALIFICATIONS

Educational/Professional Experience

  • Bachelor’s degree preferred;
  • 1 to 3 years of work experience in a professional office setting, preferably in advertising, development, alumni, special events, public relations, marketing and/or research;
  • Intermediate/advanced proficiency in the MS Office suite (Word, Excel, Power Point, SharePoint) required; 
  • Familiarity with the Salesforce database or a comparable fundraising database preferred;
  • Excellent organizational skills and attention to detail;
  • Superior writing skills;
  • Ability to effectively communicate and establish credibility with diverse internal and external audiences;
  • Ability to prioritize and execute multiple tasks, meet deadlines and work in a fast-paced environment; and
  • Strong passion for and commitment to NAACP’s mission.
