If you are looking to get into the Optical industry and just need someone willing to train you then you just may have found what you are looking for.

We are E&S Management and we own and operate My Eyelab locations in both the Laredo and San Antonio markets and are in the process of adding team members to our San Antonio team. We are currently hiring customer service associates or what we call Patient Coordinators.

No experience, no problem. We are willing to train the right person for the job. We offer health benefits, 401K, and Paid Time Off.

Our Patient Coordinators earn a competitive hourly wage of $15 per hour plus bonuses. Our Patient Coordinators earn an average of an extra $200-$350 in bonuses every two weeks (this is in addition to their hourly wage). The bonuses combined with the hourly wage is equivalent to $16 - $18 per hour paid every two weeks.

Job Description Summary

Patient Coordinators from E&S Management and all related entities are self-motivated individuals passionate about customer service and supporting their store team to achieve common objectives. Patient Coordinators are fully committed to providing a superior experience to patients throughout the different stages of their clinical journey and examination process.

Patient Coordinators are responsible for greeting patients, assisting them in the process of gathering their information to create an accurate profile in the POS system, understanding the basic operation of examination equipment and walking patients efficiently through the process, keeping them engaged and establishing basic safety expectations. Patient coordinators are also responsible for managing the patients’ flow in the clinical area to ensure examinations are executed according to Company standards.

Patient Coordinators play a vital role in gathering important information from the patients and effectively communicating it to fellow sales consultants or management to facilitate the sales process according to the patient's needs or expectations, i.e. utilization of insurance plans. Patient Coordinators have also a critical responsibility in promoting the store's online reputation by engaging patients to provide Google Reviews that can positively impact the business.

Patient Coordinators are also responsible for managing the store’s dispensing area by receiving patient’s orders, contacting patients and updating orders’ status in the POS system accordingly. They also play a crucial role in keeping accuracy of records regarding patient’s files, insurance information, order journey stages and statuses, job sheets, etc. In addition, patient coordinators play a pivotal role in the equipment cleanliness, sanitizing, and basic maintenance to preserve the machinery in good working order.

Duties & Responsibilities

Patient Coordinators duties and responsibilities include but are not limited to the following:

  • Greeting, acknowledging and receiving patients to direct the traffic into the corresponding area.
  • Assist patients throughout the examination process, walking them through the different stages and setting expectations about duration, safety and overall experience.
  • Gather and record accurate information from patients, including but not limited to personal data, insurance documents, financing documentation, etc.
  • Support records accuracy by classifying records properly, such as job sheets for glasses and contact lenses, patients leases and financial documentation, dispense logs, etc.
  • Effectively manage the dispensing area by receiving merchandise properly in the POS system, ensure records accuracy of the different stages of orders journey, contact patients in a timely manner, communicate any delays proactively, ensure to verify any balance dues prior to dispensing, support the patients on troubleshooting and escalate to partners or management if needed.
  • Manage the clinical area equipment by ensuring its proper operation, cleaning, sanitizing and maintenance to ensure they’re in good working order at all times. Communicate to Management any equipment needs or issues proactively.
  • Engage patients in providing Google reviews to promote the store's positive reputation.
  • Participating in continuing education practices such as role plays, training courses and review Company Communications on the Franchise Field Inform on a weekly basis to implement updates.
  • Complete all assigned training on the Learning Management System in a timely manner.
  • Stay engaged with individual goals and performance on a regular basis to ensure goals are met and exceeded. Partner with Managers to identify and address areas of opportunity.
  • Adhering to Company policies, procedures and standards in daily duties.
  • Support the team in keeping a clean and safe environment in the store for both staff and patients.
  • Perform other duties as assigned and requested by Management.
