Wage: $17.00 per hour
FSLA Status: Part Time ~ Non-Exempt

SUMMARY
Mutual Housing Management is affiliated with Mutual Housing California. Mutual Housing Management provides professional property management services to Mutual Housing California's affordable multifamily properties. The mission of Mutual Housing Management is to be an exceptional steward of Mutual Housing's portfolio of multifamily housing properties to support long-term sustainability.
Under the direct supervision of the Assistant Manager or the Property Manager, the Desk Clerk is responsible for screening visitors, and monitoring activities at the front desk. The Desk Clerk is responsible for assisting building management with maintaining the site safety as well as providing ongoing administrative support.
The Desk Clerk must relate well to people, must exercise good judgment and discretion in dealing with applicants, partners, service providers, residents, visitors, vendors, and staff. The Desk Clerk is required to collaborate directly with the Property Manager to provide feedback and communication as needed. The Desk Clerk is expected to help facilitate resident related functions as requested and adhere to Community Rules and Company Policies/Procedures. t
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Maintain complete knowledge of and complies with all Mutual Housing policies and procedures.
  • Maintain complete knowledge of correct maintenance and use of equipment. Use equipment only as intended.
  • Timely and accurately respond to residents' needs, promptly and acknowledge all residents, vendors, and guests.
  • Consistently maintain favorable customer service relations with residents and others who engage with the community and its' constituents.
  • Resolve guest complaints, practice de-escalation skills, and ensuring strive for resident satisfaction.
  • Monitor and maintain cleanliness, sanitation, and organization of assigned work areas.
  • Retain knowledge of:
  • Community features, services, and hours of operation.
  • Unit types, apartment numbers, community site maps, scheduled appointments, and resident resources.
  • Community room rental availability (if applicable).
  • Scheduled in-house activities, locations, and times.
  • House Rules and departmental policies and procedures.
  • Possess the ability to comprehend and refer to computer, software, and operating manuals.
  • Answer department telephone within 3 rings, using correct greeting and telephone etiquette.
  • Maintain supplies and equipment. Complete requests to replenish shortages or additional items needed.
  • Report to supervisor immediately any critical situations and provide effective solutions to best expedite solution or next steps.
  • Monitor and create expense reports (telephone, out of pocket expenses, supplies, and mileage).
  • Document pre or post-shift communication with staff and review all information pertinent to the day's property needs.
  • Monitor the community entrance and assist at resolving any unfavorable situations that may occur in accordance to company stands, policies, and procedures.
  • Monitor and enter resident communications within the Yardi system and ensure that residents' requests are followed up daily.
  • Adhere to Mutual Housing requirements for escalation and documentation should a resident, vendor, guest, or employee accidents or injuries occur.
  • Create work orders to ensure cleanliness of the community and facilities as needed or as requested from residents for internal or external repairs.
  • Foster and promote a cooperative working climate, maximizing productivity and employee morale.

Requirements
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education:
  • Experience with multi-family affordable housing is preferred.
  • Must possess the ability to utilize MS Office (Particularly Excel, Word and Outlook).
  • Knowledge and experience with TCAC, PSH, and HOME Occupancy and Compliance regulations is preferred but not required.
  • Ability to successfully adapt to a team environment and meet deadlines, as established.
  • Effectively communicate, both internally and externally, across multiple platforms.
Experience:
Experience with janitorial routine.
PREFFERED QUALIFICATIONS
  • Demonstrated positive customer service skills with ability to appropriately communicate with staff, residents, and others involved with the community.
  • Experience utilizing multifamily software such as Yardi and Rent Caf, is preferred.
  • Knowledge of state/city/county ordinances and codes.
  • The ability to work with diverse and vulnerable populations and/or have experience with homelessness populations and housing.
  • Must have reliable automobile transportation and a valid California Driver's License and insurance.
LANGUAGE, MATH & REASONING SKILLS
Ability to comprehend and refer to computer and operating manuals, Housing and Urban Development regulations, California Tax Credit Manual, RHCP and other agency regulatory manuals and agreements. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from supervisor, managers, and the general public. Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Able to analyze and review financial data. Highly accurate in mathematical computations. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to effective problem solve relationships with staff and agencies. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
