Museum of Fine Arts is Hiring a Development Associate, Annual Programs Near Boston, MA

Position Overview:

Reporting to the Director of Annual Programs, the Development Associate, Annual Programs will work closely with all members of the Annual Programs team. The Development Associate is responsible for administrative, operations, and event support for all MFA annual giving programs including the Patron Program, Museum Council, Curators Circles, and MFA Fund. The Development Associate also supports the team in providing a welcoming and engaging experience for our MFA donors.

Essential Functions:

  • Track donor gifts and ensure that membership, giving, and contact data are accurately entered and maintained in Tessitura database.
  • Work closely with Development Operations to troubleshoot gift issues and support timely and accurate processes for automatic giving and pledge payment reminders.
  • Generate, organize, and execute small-scale mailings, including renewal reminders, season announcement, acknowledgement letters, prospect solicitations, stewardship outreach, and other projects.
  • Coordinate placement of MFA Fund collection boxes and regular processing.

CUSTOMER SERVICE:

  • Provide timely, responsive, and professional customer service to Patron and Council members, including assisting with digital membership cards and ticket reservations.

EVENTS:

  • With the Program Assistant, Membership & Annual Programs, assist with the successful execution of events, including drafting email invitation copy, creating invitation lists, tracking RSVPs, nametag production, coordinating volunteers, and check-in table set-up.
  • Ensure that event invitations and attendance are accurately recorded in Tessitura database.
  • Support successful Museum Council and Patron Program Committee meetings, including RSVP tracking, room set-up, and other logistics.

OTHER:

  • Manage and regularly update the Annual Programs team calendar.
  • Support Museum Council, MFA Fund, Patron, and Curators Circles budgets including tracking expenses, processing invoices, and reconciling.

Secondary Functions:

  • Track Annual Programs supply and collateral inventory, maintain order in storage spaces, and place orders for new supplies as needed.
  • Support occasional Annual Programs database clean-up, data analysis, and research projects
  • Assign and oversee tasks of Annual Programs interns.
  • Perform other related duties as required.

Qualification Requirements and Characteristics 

  • Bachelor’s degree or equivalent professional experience required.
  • One to three years of office experience preferred.
  • Solid working knowledge of PC-based Microsoft Word and Excel, such as mail merges
  • Experience and facility with maintaining and extracting data from CRM databases
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle delicate and confidential information.
  • Ability to multi-task and prioritize assignments
  • Proven ability to work both independently and as a team player.

  • Flexibility to work occasional evening and weekend events as needed (qualifies for overtime).

Salary Range 

Full-time Salary 35 hours per week

Salary: $46,890 - $48,000
