MOSSY NISSAN POWAY is Hiring an Administrative Assistant / Warranty Clerk Near Poway, CA

We are seeking an Administrative Assistant/ Warranty Clerk with excellent organizational skills and a winning attitude. This individual's primary responsibility is to assist the General Manager in functions relating to the operation of the Dealership while processing all Warranty Claims for the Dealership's Service Department.
Employees in this position will be paid a base hourly wage ranging from $22.00/hr. to $28/hr.

Responsibilities
Specific responsibilities include but are not limited to the following; other duties may be assigned.
  • Providing excellent customer service to internal and external customers at all times.
  • Promoting an understanding of, and strong commitment to client satisfaction, and to the Mossy Team.
  • Fielding client complaints, ensuring prompt and appropriate action by General Manager or department head.
  • Maintaining accuracy and timely completion of Sales Reports for dealership.
  • Sorting and distributing incoming mail.
  • Ordering, receiving and distributing order shipments.
  • Maintaining operation and repair of office equipment.
  • Maintaining sales license cabinet and ensuring licenses are renewed in a timely manner.
  • Processing new hires, initiating background investigations and drug screens. Ensuring completion of all required paperwork.
  • Processing and completing termination paperwork.
  • Processing workers compensation claims.
  • Maintaining and distributing petty cash.
  • Submitting stolen vehicle insurance claims.
  • Reconciling and forwarding daily deposits.
  • Maintaining and updating the Employee Bulletin Boards within the Dealership.
  • Maintaining and updating the dealership phone roster on a regular basis.
  • Maintaining and updating the organization charts on a regular basis.
  • Learning, understanding all current manufacturer and after-market warranty policies and procedures.
  • Reviewing every warranty repair order written for proper completion, accuracy, and legibility, according to the applicable policies and procedures.
  • Returning improperly completed repair orders to the individual who originated the document so that it may be corrected and/or completed.
  • Determining and entering the applicable labor operation codes, failure codes, and/or other administrative data required. Flagging the appropriate technicians for hours earned on the operations they performed.
  • Monitoring the use of special warranty programs for diagnosis time, straight time repairs, etc. for abuse by the service, sales and/or technical staff.
  • Reporting to supervisor/management any abuses or fraudulent manipulation of warranty claims.
  • Submitting warranty claims to the manufacturer or warranty company using the administrative tools available and in current use.
  • Reviewing all returned and/or rejected warranty claims and preparing the repair order for immediate re-submission.
  • Contacting the appropriate warranty claims representative regarding any claims requiring special authorization.
  • Providing a weekly report to the Service Manager regarding claims status. Striving to maintain a minimum warranty claims acceptance rate of 95% and no more than thirty (30) days of warranty receivables.
  • Reporting to management any condition or situation that may jeopardize the safety, welfare or integrity of the dealership, its employees and/or clients.
Qualifications
  • Leadership abilities and people skills that contribute to effective communication in managerial responsibilities and in creating a positive working environment.
  • Previous automotive warranty experience preferred.
  • Ability to communicate effectively with clients and co-workers.
  • Appears for work on time, dressed appropriately and ready to work.
  • Organizational and multi-tasking abilities with strong attention to detail.
  • Proficiency in Microsoft Applications
  • Interacts effectively with co-workers.
  • Follows directions from supervisor.
  • Understands and follows posted work rules and procedures and all company policies.
  • Accepts constructive criticism with motivation towards improvement in job performance.
  • Ability to exercise good judgment.
  • A need to see order and accuracy.
  • Valid CA driver's license and good driving record
